Technical Virtual Assistant (Operations, Shopify & Design Support)

Overview

We are seeking a highly capable and tech-savvy Virtual Assistant to support a business owner managing both a construction firm and a growing furniture retail store. This role requires someone who can take ownership across operations, systems, and visual/design-related tasks, with a strong focus on Shopify and product visualization.

Key Responsibilities Email & Admin Management

● Manage and organize multiple inboxes (3+)

● Set up email rules, filters and automations

● Respond to emails on behalf of the client (suppliers, internal communication)

● Summarize key updates and flag important items

Shopify & Systems Support (CORE)

● Work within Shopify to manage and support product-related tasks

● Research and implement Shopify apps and integrations

● Pull product items from Shopify into tools or workflows

● Assist in improving systems and operational workflows

Marketing & Content Support

● Assist with email marketing campaigns

● Create and edit visual content using Canva

● Support social media and content initiatives

Data & Reporting

● Assist with data tracking and KPI reporting

● Work with Excel (Power BI is a bonus)

● Upload and organize data for reporting tools

Design & Visual Support (ESSENTIAL)

● Create furniture layouts, mood boards, and visual concepts

● Use Shopify + connected apps to pull products into visual designs

● Help create visual representations for customers (e.g. room concepts)

● Learn and use design/visualization tools

● Support visual content creation for marketing campaigns

Requirements (MUST-HAVE)

● 3+ years experience as a Virtual Assistant or similar role

● Strong technical and systems mindset

● Proven experience with:

○ Shopify (ESSENTIAL)

○ Canva or similar design tools

○ Creating visual content or layouts

● Ability to work with Shopify integrations and apps

● Comfortable creating visual product layouts (especially furniture or similar)

● Strong email management and organizational skills

● Fluent English (written and verbal)

Non-Negotiables Candidates must:

● Have hands-on Shopify experience

● Be able to work with Shopify apps and integrations

● Be comfortable with design tools and creating visual layouts

Nice to Have

● Power BI experience

● Email marketing experience

● Automation / AI tools experience

Working Style

● Comfortable in a fast-paced, unstructured environment

● Proactive and takes initiative

● Able to manage varied, non-routine tasks daily
