We are seeking a highly organized and execution-focused Sales & Marketing Coordinator to support revenue growth for a U.S.-based professional services business. This role works directly with the Founder to ensure follow-ups, campaign execution, and sales coordination are handled consistently and professionally.
This is not a closing or cold-calling role. Instead, you will ensure no opportunity is missed by maintaining accurate records, executing predefined processes, and supporting structured outreach efforts.
Duties / Tasks to Perform
• Maintain accurate and up-to-date CRM records (HubSpot)
• Log all inbound leads, referrals, and outreach activity
• Ensure same-day or next-business-day follow-up on all prospects
• Schedule discovery and introductory calls with leadership
• Prepare proposals using approved templates
• Track opportunities through defined pipeline stages
• Maintain detailed notes on prospect status, outcomes, and next steps
• Conduct professional follow-up calls to warm prospects
• Confirm receipt of emails, materials, or in-person outreach
• Assess interest levels and schedule next steps when appropriate
• Update CRM records after each interaction
• Follow approved scripts and processes (no cold calling required)
• Execute marketing campaigns using pre-approved content
• Build and manage email campaigns and workflows in HubSpot
• Coordinate follow-up sequences tied to campaign activity
• Create landing pages and forms in WIX using provided templates
• Ensure workflows, forms, and notifications function properly
• Monitor campaign activity and flag performance issues
• Provide weekly activity and pipeline summaries
• Track outreach attempts and responses
• Monitor follow-up SLAs
• Identify stalled opportunities
• Maintain documentation to support repeatable processes
Requirements:
• Experience in sales coordination, sales support, or marketing coordination
• Comfortable making professional outbound follow-up calls
• Strong written and spoken English communication skills
• CRM experience (HubSpot strongly preferred)
• Experience executing email campaigns and workflows
• Basic experience with websites or landing pages (WIX preferred)
• Highly organized, detail-oriented, and process-driven
• Reliable and accountable with strong follow-through
Schedule: Monday to Friday, 8:00 am to 5:00 pm (GMT-5), Eastern Time (US & Canada), Bogotá, Lima - 15hrs per week
