About the Opportunity
We are seeking a detail-driven and process-focused Purchase Order Team Lead to join our Estimating function in a newly created role. This position plays a critical role in ensuring the accuracy, efficiency, and timeliness of Purchase Order (PO) processing across the business. You will lead day-to-day PO operations, drive process improvements, and work cross-functionally with Estimating, Invoicing, Scheduling, and IT to optimise workflows. With a strong focus on lead times, system improvements, and AI integration, this role is key to enabling scalable, best-practice PO management nationally.
Key responsibilities include:
Oversee day-to-day management of the PO inbox and workflow
Ensure accurate processing, allocation, and coordination of Purchase Orders across teams
Monitor and improve PO entry lead times (targeting 3-day turnaround)
Identify process gaps and implement continuous improvements
Reduce PO discrepancies and validation issues in collaboration with Invoicing
Maintain and document processes within Confluence to ensure consistency and clarity
Partner with internal teams (Estimating, Scheduling, Invoicing, IT) to optimise workflows
Support and upskill the PO team on best practice processes
Drive efficiency through system enhancements, automation, and AI integration
Manage pricing agreement accuracy and resolve PO-related queries (internal and client-facing)
About You
Proven experience in Purchase Order processing (essential)
Background in estimating, invoicing, or finance administration highly regarded
Strong understanding of pricing agreements and contract-based billing
Highly organised with the ability to manage high-volume workflows
Process-driven mindset with a passion for continuous improvement
Experience working with systems such as Power BI, Confluence, or ERP platforms
Confident communicator, able to engage with both internal teams and clients
Exposure to automation or AI-driven workflows (or strong interest to learn)
