Position Summary:

Reporting to the Internship Manager, establishes criteria for policies and procedures regarding internships, internship selection and new opportunities for students. 

Primary Responsibilities:

• Develops and maintains partnerships with local and international organizations, oversees internship selection and student placements, monitors progress, and leads the strategic growth of internship opportunities. 

• Liaises with departmental and faculty advisers on student affairs matters relating to internships.  

• Advises students on internship opportunities, funding options, application and credit procedures, verifies required documentation, and guides them in finding placements aligned with their academic field and profile. 

• Plans events for students and faculty to promote the office to the McGill community and organizes the logistics.  

• Prepares statistics and reports as needed. 

• Responsible for the Arts Internship database and updates the website.  

• Assists the Internship Manager in all administrative activities of the office; coordinates the work of casual student employees. 

• Participates in the analysis and resolution of problems related to student internships including emergency protocol. 

• Implements new initiatives and opportunities for students that support the strategic direction of the internship office and the Faculty of Arts. 

Other Qualifying Skills and/or Abilities:

Requires a high level of professionalism, discretion, and accuracy, with strong attention to detail in data management, communications, and reporting. Proven knowledge of the University’s policies and procedures, particularly in student affairs, is essential. Must be highly organized, results-driven, and able to manage multiple projects under tight deadlines while prioritizing tasks effectively. Demonstrated ability to work independently and collaboratively, build constructive internal and external relationships, and handle sensitive or confidential information with tact is required. Experience in coordinating events, facilitating workshops, and engaging diverse audiences is preferred. Strong analytical, problem-solving, and planning skills are essential, along with exceptional written and verbal communication skills in English and French. Advanced proficiency with Microsoft 365 (Outlook, Excel, Word, PowerPoint, Teams, SharePoint) is required, with experience in presentation software, web page editing, and databases; knowledge of HTML coding, donor relations, and familiarity with McGill University and the Faculty of Arts are considered assets. Knowledge of Spanish spoken and written, an asset.
