About the Role
We are looking for an experienced HubSpot CRM Manager to support our group of hospitality and real estate brands across LATAM and Canada. This is a part-time, on-demand freelance position for someone with 5+ years of hands-on HubSpot experience, capable of managing all CRM operations, workflows, reporting, and system automations independently.
You will be the central person responsible for ensuring that our HubSpot portal is organized, automated, optimized, and used correctly by all team members.
Key Responsibilities
CRM Administration & Setup
Manage full configuration of the HubSpot portal (Sales, Marketing, and Service Hubs).
Create, edit, and manage users, teams, roles, and permissions.
Maintain data integrity, property structures, and naming conventions.
Troubleshoot and resolve HubSpot technical issues or errors.
Workflows & Automations
Build and optimize automated workflows for:
lead nurturing
onboarding
tasks and reminders
pipeline automations
email sequences
internal notifications
Review existing workflows and ensure they are functioning properly.
Reporting & Dashboards
Create custom dashboards, reports, and analytics for the CEO and management.
Build dashboards for:
sales performance
marketing campaigns
revenue funnels
lead conversion tracking
operations
Deliver monthly executive reports summarizing KPIs and insights.
Pipeline & Process Management
Structure and maintain deal pipelines, lead pipelines, and service pipelines.
Improve deal stages, lifecycle stages, and lead statuses.
Ensure all teams follow proper CRM processes and update data correctly.
Marketing Integration
Support the marketing team by:
integrating forms, landing pages, and ads
connecting HubSpot to Facebook/Instagram Lead Ads
configuring tracking, UTMs, and campaign analytics
syncing contacts from multiple brands and websites
Set up automated email sequences and lead-nurturing campaigns.
Training & Support
Train team members to use HubSpot properly (sales, marketing, and admin staff).
Create SOPs, internal guides, and best practices for CRM usage.
Monitor user activity and make recommendations to leadership.
Quality Control
Ensure data cleanliness, deduplication, tagging, and segmentation.
Detect and fix incorrect data flow, errors in automations, or missing info.
Maintain consistent CRM hygiene.
Requirements
Minimum 5 years of professional HubSpot experience (administration + automation).
Strong knowledge of Sales Hub, Marketing Hub, and CRM customization.
Proven experience building advanced workflows and dashboards.
Ability to troubleshoot and solve CRM issues quickly.
Strong analytical skills and understanding of revenue funnels.
Experience training teams and improving CRM adoption.
Ability to work independently, meet deadlines, and communicate clearly.
Experience with real estate, hospitality, or multi-brand companies is a strong asset.
Desired Soft Skills

Proactive and solution-driven.
Comfortable working with executives and cross-department teams.
Strong communication skills (English required; Spanish is a plus).
Engagement & Availability
Freelance, hourly-based.
Flexible schedule, but must be available for:
weekly check-ins
urgent CRM fixes when needed
Expected workload: 10–20 hours per month, with the possibility of growth.
