We are looking for someone who is EFFICIENT, DETAIL-ORIENTED, AND PRECISE. You enjoy multitasking and keeping busy. You are able to accomplish things quickly without sacrificing quality. The Executive Assistant must perform high-level, administrative work, confidential clerical work, scheduling/calendar management, coordinating, and organizing travel. You can take on a task with little direction and run with it! You know when to work on your own and when to ask for direction.
RESPONSIBILITIES:
• Act as the trusted “Right Hand” to the VP of Operations and occasionally support other members of the Executive team, ensuring seamless day-to-day operations.
• Perform high-level administrative tasks, including managing confidential documents, preparing reports, and handling sensitive communications.
• Maintain and coordinate complex calendars, scheduling meetings, appointments, and events with precision and foresight.
• Organize and manage domestic and international travel arrangements, including flights, accommodations, itineraries, and expense tracking for business and personal.
• Handle multiple tasks and shifting priorities efficiently, ensuring deadlines are met without compromising quality.
• Take ownership of assignments with minimal direction, showing initiative and resourcefulness in completing tasks.
• Exercise sound judgment to determine when to act independently and when to seek input or clarification.
QUALIFICATIONS:
• Experience: Minimum of 5 years of experience as an Executive or Personal Assistant supporting senior leadership in a fast-paced environment preferred.
• Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook, with the ability to quickly learn new tools and systems.
• Proactive Mindset: Self-starter who anticipates needs, takes initiative, and stays one step ahead in supporting executive priorities.
• Professional Demeanor: Confident and composed, with the ability to be assertive and persistent when necessary while maintaining professionalism.
• Communication Skills: Excellent written and verbal communication skills, with the ability to craft clear, concise messages and interact effectively at all organizational levels.
• Organizational Skills: Exceptionally detail-oriented and highly organized, with a talent for managing multiple priorities and maintaining accuracy.
• Team-Oriented Attitude: Positive, collaborative, and willing to support colleagues across departments to achieve shared goals.
• Discretion and Integrity: Trusted to handle confidential and sensitive information with the utmost discretion and professionalism.
• Independent Thinker: Strong problem-solving skills and the ability to work independently while staying aligned with executive expectations.
