Team Overview
As the Administrative Assistant, you will report to the VP of Communications & PR and support our broader Communications & PR team members (VP of Comms & PR, Director of CEO Comms, Director of Comms Strategy, etc.) in a variety of administrative, project management, and communications tasks. You'll play a vital role in supporting our team's ability to deliver effective communications strategies that amplify the work and mission of ADF.
Key Responsibilities
• Maintain, update, and manage day-to-day administrative functions for the Communications & PR leadership as well as the direct team as needed.
• Manage Outlook calendars and coordinate and schedule meetings.
• Prepare and coordinate travel itineraries.
• Reconcile corporate credit card expenses and prepare vouchers to submit invoices for payment.
• Maintain and manage other administration needs (i.e. office supplies, IT support, facilities requests, etc.).
• Create and edit presentations, correspondence, memos, graphs, reports, and other documents.
• Manage a variety of clerical responsibilities and additional projects to support the Communications & PR team goals.
Minimum Qualifications
• 3+ years of administrative experience
• Proficient in Microsoft Office, including Word, PowerPoint, Excel, and Outlook.
• Excellent organizational, attention to detail, and time management skills.
• Strong written, verbal, and interpersonal communication skills.
• Ability to manage and prioritize projects, multitask effectively, follow-up promptly and meet appropriate deadlines.
• Excellent customer services and a heart for serving.
