ABOUT THE ROLE

This is a high-impact, strategic manager role within the People & Culture team, accountable for Delhi office, hybrid, and remote. You will take care of overall Workplace Operations at Delhi & Gurgaon offices- Office cleanliness, Security, Vendor management, Budget management, Pantry snacks, onboarding formalities, indoor plants, office stationery, minor office repairs and Event Management.

What You’ll Be Doing:

• Admin & Facility Executive is overall responsible for the performance of the cleaning operations at the site.

• Make sure cleanliness with highest standards and maintain the same in the office.

• Maintain all Standard Registers: Material Movement, Vendor Visitor, and Courier inward & outward.

• Make sure every employee/new joiners/visitors are using a valid id card and accessing while entering into the office premises by access card or visitor entry in the register including the building maintenance team.

• Maintaining entire office physical & electronic security operations.

• Organizing fire mock drill with support of ERT Committee.

• New joiner/Exit Employee formalities.

• Monitoring minor office repairs & maintenance

• Work cross function teams like HR, IT, Legal & Finance team.

• Ensure employees onboarding and exit formalities.

• Coordination with vendors to get the best comparative quotes and quality check of the materials.

• Vendor coordination for any minor repairs in the office like Coffee/Water Dispenser, Refrigerators, Microwave Oven, UPS, AC’s etc.

• Validation & checking of vendor invoices/bills and also their services.

• Inventory Management – New joiner welcome kit Materials, Stationery, Coffee Vending, Medicines for First Aid Box, Pantry Materials & Cutleries.

• Timely General & Surprise Audit of Stores with respect to stock report.

• Pantry upkeep all the time with respect to Tables, Plates, Spoons, Micro woven, Water dispenser, Floor, Tables, Chairs, Refrigerator, Dustbins, Coffee vending machine are clean & usable condition.

• Snacks & weekly lunch arrangements in the pantry for employees & prepare weekly reports.

• Make sure the pantry cleanliness is maintained with the highest standard, the vending machines are operational & all the required supplies are maintained.

• Need to plan, organise, budget & implement company’s events in office or outside office.

• Handling office events & parties with coordination of the HR team.

• Identifying correct vendors to organise any bigger event.

• We are looking for a Workplace Manager who is enthusiastic, self-motivated and people-oriented with 7+ years of office management experience, who loves multi-tasking and collaborating. You know how to ensure a smooth day-to-day office operation and are able to work with vendors and budgets confidently. Additionally, You have a positive mindset and are always looking to bring a smile to people’s faces and drive employee engagement organising events and other initiatives.

• You have the flexibility and the intuition to react with appropriate urgency to emerging situations and are able to complete multiple high-priority tasks efficiently. You’re excited by the challenge of hybrid workspaces and are ready to put forward innovative solutions to allow our in-office and remote Tideans to thrive. You can’t wait to impact a rapidly scaling company!

• Minimum Qualification: Graduate.

• Candidates should have good command of the English language (both writing & speaking).
