Workforce Specialist

As a Workforce Specialist, you will be responsible for forming, updating, and improving our agents’ schedules while planning our Operations department's needs. Your goal is to facilitate the function of the department by offering a smooth working schedule. Your work will have an immediate influence on day-to-day Operations at efood.

What you'll do:

Scheduling & Intraday Coordination

• Monitor and manage real-time shift adherence.

• Implement coverage fixes to meet Service Level Agreements (SLAs).

• Build and maintain schedules based on forecasts.

• Continuously optimize schedules weekly based on reforecasts and operational changes (absences, volume).

• Ensure scheduling stability, coverage, fairness, and compliance with business needs.

 

Forecast Partnership & Staffing Planning

• Collaborate with Analysts to translate forecasts into staffing needs.

• Proactively recommend coverage to mitigate risks and meet service targets.

Reporting & Data Analysis

• Generate Workforce Management (WFM) and management reports on coverage, schedule accuracy, and staffing versus forecast.

• Analyze operational data statistically to provide insights.

• Maintain weekly and monthly dashboards for data-driven decisions.

 

Stakeholder Communication & Governance

• Liaise with supervisors and team leaders on schedule requirements and approvals.

• Manage daily shift requests and escalations, balancing business needs with policy.

 

People Operations Support (WFM-related)

• Coordinate workforce onboarding and offboarding (access, schedules, training).

• Partner with the Training team for session planning and attendance.

• Prepare and submit payroll inputs (hours, exceptions) to HR/Payroll.

• Assist with monthly reporting.

• At least 2 years of experience in a relevant workforce management or scheduling position.

• BSc in Mathematics/Statistics, Computer Science, or a related field.

• Very good knowledge of MS Office Suite, with expert-level proficiency in Microsoft Excel.

• Excellent communication skills in both Greek and English.

• Strong organizational and time management skills.

• Teamwork, collaboration, and a high degree of emotional intelligence/empathy.

• Creative problem-solving skills and a drive for innovation.
