Role Summary
We are seeking a highly analytical and execution-focused Data Operations Coordinator to own the company’s operational performance through data, KPIs, and cross-functional visibility.
This role sits at the center of the business—connecting intake, case management, compliance, and leadership—ensuring that decisions are driven by accurate reporting, clear metrics, and continuous operational improvement.
You will not just report data—you will own it, challenge it, and use it to drive performance across teams.
Core Responsibilities
KPI Ownership & Business Visibility
Define, track, and standardize KPIs across Intake, Case Management, and Compliance
Build a single source of truth for performance metrics
Identify gaps, inconsistencies, and data integrity issues
Translate data into clear business insights and actions
Reporting & Dashboards
Build and maintain dashboards (daily, weekly, monthly)
Automate reporting wherever possible (SQL, Zapier, etc.)
Present insights to leadership with clear recommendations (not just numbers)
Cross-Team Operational Alignment
Work directly with team leads to ensure KPIs are understood and actionable
Run performance review cadences (weekly KPI reviews, monthly deep dives)
Push accountability across teams using data
Data-Driven Process Improvement
Identify bottlenecks using data
Recommend and implement improvements
Track impact post-implementation
Data Integrity & System Optimization
Ensure clean, reliable data across platforms like Filevine and LeadDocket
Audit workflows and system usage
Improve tracking structures (fields, tags, stages, etc.)
Bonus & Performance Audits
Validate bonus calculations against KPI outputs
Identify discrepancies and risks
Ensure fairness and accuracy in performance tracking
Hiring Requirements
Must-Have
6-8 years in operations, data analytics, or business ops
Strong experience building dashboards & tracking KPIs
Advanced Excel/Sheets + working knowledge of SQL
Experience working cross-functionally with multiple teams
Proven ability to turn data into decisions and actions
