The Workforce Development Administrator provides operational support for workforce development programs, onboarding coordination, and training administration across the organization. The role ensures employees complete required training and onboarding documentation while maintaining accurate training records and supporting corporate orientation sessions.
This role provides administrative support to the Workforce Development department, assisting the Director and members of the Workforce Development team with the coordination and execution of workforce initiatives.
Core Responsibilities:
Training Administration
Upload and maintain training records in the Learning Management System
Enter course completions, training hours, and certificates
Monitor completion of auto-assigned training courses
Maintain training tracking spreadsheets and records
Assist with the preparation and distribution of bi-weekly and monthly training reports
Maintain training documentation and files in SharePoint
Corporate Onboarding Support
Send welcome packages and onboarding instructions to new hires
Track completion of onboarding forms and required courses
Send reminders for incomplete training or documentation
Maintain onboarding checklists and tracking tools
Support coordination of onboarding documentation across divisions
Orientation Coordination
Facilitate scheduled corporate orientation sessions using established materials
Confirm completion of required forms and documentation
Track attendance and follow up with employees who miss orientation
Coordinate scheduling of orientation sessions
Administrative Coordination
Maintain training schedules and rosters
Support course booking and coordination logistics
Maintain training and onboarding documentation
Assist with data collection for training reports and workforce metrics
Provide administrative support for Workforce Development initiatives led by the Director and members of the Workforce Development Team
Assist with coordination of recruiting and workforce initiatives as required
Support preparation of workforce reports, presentations, and documentation
Technical Skills:
Experience working with Learning Management Systems (LMS) and HRIS platforms
Proficiency with Microsoft Office (Excel, Outlook, Word)
Experience maintaining records in SharePoint or document management systems
Ability to manage training databases, spreadsheets, and tracking tools
Experience preparing reports and training metrics
Interpersonal Skills:
Strong organizational and administrative coordination skills
Strong written and verbal communication
Ability to follow up with employees and supervisors on incomplete training
Ability to manage multiple administrative processes simultaneously
Professional and reliable interaction with employees across divisions
Qualifications:
Experience with HR or training systems such as LMS or HRIS platforms
Experience coordinating onboarding or training logistics
Experience working in a construction or operations in a safety sensitive environment
