Key Responsibilities
Guest Experience & Client Relations
• Serve as primary point of contact for all group and event-related spa bookings, with utmost professionalism and poise.
• Work with group planners, event organizers, and Notable Guests to understand their vision and curate tailored spa experiences aligned with their preferences and expectations.
• Participate in all site tours of Halehouse to support planning of wellbeing programming.  
• Provide polished, proactive communication via phone, email, & in person throughout  pre-arrival, in-house, and post-visit phases.
Scheduling & Operational Excellence
• Strategically coordinate all treatment and service scheduling for groups, ensuring efficient therapist utilization while maintaining the spa’s standards.
• Collaborate with Halehouse team to anticipate staffing needs and optimize timing, flow, and treatment room assignments.
• Generate custom itineraries and amenity access schedules that integrate seamlessly with resort activities, culinary programs, and group agendas.
Event & Amenity Coordination
• Support the preparation and delivery of  welcome amenities, gifts, etc. as requested by Director of Wellbeing
• Support on-the-ground coordination during group arrival days, ensuring smooth check-ins, warm welcomes, and personalized touches that exceed expectations.
• Attend pre-cons for group on-site pre-arrival as needed. 
• Collaborate with Fitness Manager to execute wellbeing experiences (i.e., private/group fitness classes, sound baths, wellness activations programmed by Halehouse team).
Administrative & Financial Accountability
• Accurately track group bookings, associated treatments, and package inclusions for billing/reporting purposes.
• Coordinate pre-payment and invoicing in collaboration with Finance and Events teams.
• Ensure daily collection & reporting of day group guests’ billing.
• Maintain organized documentation of group requests, preferences, changes, and service feedback to support continuous improvement
General Administrative Tasks
• Be familiar with all resort services/features and local attractions/activities to respond accurately on behalf of Sales/Event managers. 
• Assist with presentations/collateral needs on behalf of Halehouse as needed.
• Answer incoming spa reservations calls in order to support leisure guest activity.
Other 
• Assist front of house operations as needed (i.e.: arrivals/checkouts,tours) 
• Help develop and train incoming team members. 
• Assist other departments in search of group-related information.
• Attend required resort training sessions.
• Participate in and support resort and company efforts towards sustainability and environmental initiatives of the Auberge brand.  
• Perform other duties as directed, developed or assigned.
The starting range for this position is $25.00. This is the pay rate for this position that Stanly Ranch reasonably expects to pay. Decisions regarding individual salaries will be based on a number of factors, such as experience and education.
Required Qualifications
• 1-3 years of customer service and spa experience
Preferred Qualifications
• Luxury hospitality experience.
