Position Summary
The Weatherization Program Specialist provides administrative, compliance, and quality assurance support for the Weatherization Assistance Program (WAP). This role focuses on reviewing program files, tracking compliance, supporting reporting requirements, and assisting with customer service and corrective action processes to ensure program standards are met.
Essential Duties and Responsibilities
Conducts quality assurance reviews of Weatherization program files according to an established schedule. Completes required checklists, communicates significant issues identified during reviews, and prepares reports outlining findings, concerns, and recommendations.
Ensures all relevant information is accurately entered and maintained in required databases.
Collaborates with team members to review and analyze program data. Verifies that all required fields are complete and accurate prior to submitting reports to the grantor.
Reviews and reconciles WAP invoices as they are submitted and reports any discrepancies to the supervisor.
Conducts WAP customer service surveys, compiles responses, and reports findings to the supervisor. Follows up on customer complaints on a quarterly basis.
Maintains and updates processes for logging, tracking, reporting, and resolving customer complaints.
Assists the Program Director in responding to complaints by conducting intake, reviewing concerns, interviewing relevant parties when necessary, and preparing written reports with findings and recommendations.
Systematically tracks the status of county inspections related to mechanical systems and weatherization work.
Coordinates with the State Historic Preservation Office to obtain approval for weatherization work performed on homes in historic areas.
Provides administrative support to program staff, including remote employees, as directed by the supervisor.
Prepares and distributes case-specific correspondence and mailings to clients, contractors, and other relevant parties as needed.
Tracks corrective action plans and prepares progress reports for the Program Director.
Knowledge, Skills, and Abilities
Strong attention to detail with the ability to maintain accurate and well-organized records
Ability to handle confidential and sensitive information with professionalism and discretion
Proficient in Microsoft Office and Google Workspace, with the ability to learn new program systems quickly
Clear and effective written and verbal communication skills
Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines
Ability to work independently while also contributing positively as part of a team
Education and Experience
High School Diploma or equivalent
One (1) year of related administrative, compliance, or program support experience
Equivalent combinations of education and experience will be considered
Other Requirements
Must pass a criminal background check
Must successfully complete a pre-employment drug screening
Must possess a valid North Carolina driver’s license
