Role Overview
We are looking for a warm, organized, and detail-oriented Virtual Veterinary Office Assistant to support busy clinics.
You will act as the first point of contact for pet owners—handling calls, scheduling appointments, managing follow-ups, and ensuring a smooth client experience.
This role requires strong communication skills, confidence on the phone, and the ability to stay calm when assisting concerned or emotional clients.
Key Responsibilities
Client Communication
Answer incoming calls with professionalism, empathy, and clarity
Support pet owners with questions and appointment coordination
Scheduling & Calendar Management
Schedule, reschedule, and confirm appointments
Ensure efficient calendar utilization based on clinic needs
Follow-Ups & Coordination
Follow up on missed calls, voicemails, cancellations, and no-shows
Route messages to the appropriate clinic staff
Administrative Support
Maintain accurate client and patient records
Support inbox management, reminders, and daily admin workflows
Client Experience
Deliver a calm and supportive tone aligned with veterinary care standards
Handle high call volumes while maintaining quality service
Key Qualifications
• +3 years of experience in customer service, receptionist, or scheduling roles
• Experience in veterinary, medical, or high-volume service environments (preferred)
• Strong phone presence and ability to manage frequent calls
• Comfortable using CRM systems, scheduling tools, and digital platforms
• High attention to detail and strong organizational skills
• Fluent English (spoken and written)
• Spanish is a strong plus
• Reliable remote setup with stable internet
• Available to work full-time in U.S. time zones
Requirements:
• Professional and quiet remote work setup (PC) with reliable high-speed internet.
• Strong Zoom presence and polished communication skills.
• Ability to balance client interactions with administrative responsibilities.
