We are looking for a Travel Management Specialist to plan, coordinate, and optimise business travel arrangements across our international organization.
This role is part of a newly established department and is based at our International Headquarters in Schengen, Luxembourg.
WHAT ARE YOUR RESPONSIBILITIES:
Arrange and manage domestic and international travel (flights, accommodation, transportation)
Ensure compliance with company travel policies and global travel regulations
Negotiate rates with airlines, hotels, and travel vendors
Monitor travel budgets, track expenses, and identify cost‑optimisation opportunities
Handle last-minute changes, cancellations, and emergencies
Provide travelers with itineraries and travel documentation
Generate travel and expense reports and provide insights to management
Stay updated on visa, passport, and health requirements and proactively advise stakeholders
WHAT ARE THE REQUIREMENTS:
Bachelor’s degree in Business, Tourism, or related field (preferred)
Minimum 3 years of experience in travel management, or travel coordination, ideally in an international environment
Experience in travel coordination or corporate travel management
Hands‑on experience with travel booking and expense tools (e.g. SAP Concur, Amadeus, or similar GDS)
Solid understanding of global travel regulations and corporate travel policies
Strong stakeholder management skills with internal clients and external vendors
Fluency in English; additional languages are an advantage
Strong organizational and multitasking abilities with high attention to detail
Excellent communication, customer service, and stakeholder management abilities
Ability to work under pressure and handle urgent situations professionally
Familiarity with booking tools and GDS systems
Experience in budget management and vendor negotiation
