Travel & Logistics Coordinator
Location: Whitehorse, Yukon
About the Role:
We are seeking a highly organized and adaptable
Travel & Logistics Coordinator to manage workforce travel and logistics for our operations. This role is critical in ensuring the efficient movement of personnel, parts, and equipment to and from job sites, while working closely with internal teams and external partners.
Key Responsibilities
Coordinate and book travel for up to 300 employees across Canada (flights, accommodations, ground transportation)
Liaise directly with clients regarding scheduling, flight arrangements, and workforce mobilization timelines
Develop, maintain, and continuously update workforce travel schedules aligned with project timelines and crew rotations
Manage rotating schedules, shift changes, and last-minute travel adjustments
Collaborate with all departments to align travel and operational needs
Arrange transportation of employees and, when required, drive personnel or deliver parts to job sites
Anticipate scheduling conflicts or gaps and proactively adjust travel plans to minimize downtime and cost
Track travel costs and assist with budgeting, coding, and reporting
Ensure all travel arrangements meet company policies and project requirements
Support mobilization and demobilization for multiple projects across the Yukon
Maintain accurate records of travel, accommodations, and logistics planning
Provide on-call support for urgent travel changes or operational needs
Qualifications & Requirements
Previous experience in travel coordination, logistics, or a similar role considered an asset
Strong organizational and time management skills in a fast-paced environment
Ability to manage multiple priorities and respond quickly to changing conditions
Excellent communication and problem-solving skills
Proficient in Microsoft Office (Excel, Outlook) and scheduling systems
Valid driver’s license with a clean driving record
Comfortable working both independently and as part of a team
Work Schedule & Details
Occasional travel and site visits may be required
On-call availability is required
Overtime and occasional weekend work will be expected during peak operations
