Vertex Resource Group Ltd. is seeking a Transportation Compliance Coordinator to support and improve the company’s transportation compliance program. This role goes beyond traditional administration. The successful candidate will help maintain accurate transportation compliance records while also identifying ways to streamline processes, reduce manual work, and use technology, AI tools, and automation to improve how compliance information is managed.
This position is ideal for someone who is highly organized, administratively strong, technology-minded, and comfortable learning new systems. The successful candidate does not need to be an expert in every area of transportation compliance on day one. However, they must be willing to learn regulatory requirements, maintain accurate records, support audits, and help create cleaner, more efficient processes.
This role will work closely with operations, drivers, Fleet, and the Corporate Safety team to support compliance documentation, reporting, audits, onboarding, and process improvements across the organization.
Key Responsibilities
Support and coordinate Vertex’s Transportation Compliance Program.
Maintain transportation compliance records, documentation, and tracking systems to ensure company procedures and regulatory requirements are consistently followed.
Assist with driver onboarding and documentation, ensuring driver files and regulatory records are complete, accurate, and properly maintained.
Maintain, audit, and organize transportation compliance records, including driver files, driver logs, electronic logs, trip inspections, TDG documentation, training records, and supporting documentation.
Conduct regular compliance reviews and audits to ensure records are organized, accurate, complete, and audit-ready.
Learn and apply transportation compliance requirements, including National Safety Code requirements, hours of service, electronic logs, trip inspections, driver documentation, TDG requirements, and related regulatory records.
Provide administrative and process support to drivers, operations teams, Fleet, and Safety regarding transportation compliance requirements and company procedures.
Support the review of Carrier Profiles across jurisdictions, Safety Fitness Ratings, and transportation compliance metrics.
Utilize GPS, fleet monitoring systems, electronic log systems, spreadsheets, dashboards, and other tools to support driver safety, compliance tracking, and reporting.
Support divisions with transportation-related compliance documentation and administrative requirements.
Assist with transportation-related incident reviews or investigations as required.
Process Improvement, AI & Automation
This role will support the modernization of current administrative and compliance processes. The successful candidate does not need to be an AI expert, but should be comfortable using technology to improve administrative work.
Responsibilities may include:
Reviewing current transportation compliance workflows, forms, trackers, files, and administrative processes.
Identifying opportunities to reduce manual, paper-based, duplicate, or repetitive work.
Using AI tools, automation tools, digital systems, and other technology to help streamline administrative tasks.
Creating, updating, and maintaining digital forms, templates, checklists, trackers, reports, dashboards, workflows, and standard operating procedures.
Using AI tools to summarize information, draft documents, improve communication, organize data, create checklists, or support reporting.
Using automation tools to reduce repetitive administrative tasks and improve follow-up, tracking, and consistency.
Improving manual or paper-based processes by helping move them into digital systems.
Building, maintaining, or improving spreadsheets, reports, dashboards, and tracking tools.
Identifying gaps in current processes and helping design cleaner, more consistent ways of working.
Working collaboratively with internal teams to improve consistency, accuracy, accessibility, and visibility of compliance information.
Qualifications
Minimum three years of experience in an administrative, operations support, compliance support, safety support, fleet support, process improvement, or systems-focused role.
Strong administrative experience, including document control, record management, reporting, follow-up, scheduling, file maintenance, and data accuracy.
Strong computer skills, including Microsoft Excel, Word, Outlook, Teams, and SharePoint or similar document management systems.
Experience using AI tools, automation tools, digital systems, workflow tools, or reporting tools to improve administrative processes is considered an asset.
Experience with Microsoft 365 tools such as Copilot, Power Automate, Forms, Planner, Lists, SharePoint, Power BI, or similar platforms is considered an asset.
Experience with AI tools such as ChatGPT, Microsoft Copilot, Claude, Gemini, or similar tools is considered an asset.
Experience with automation, workflow, or project management tools such as Power Automate, Zapier, Make, Monday.com, Smartsheet, Airtable, Notion, or similar platforms is considered an asset.
Experience creating or improving forms, trackers, dashboards, templates, checklists, workflows, standard operating procedures, or reporting tools is considered an asset.
Ability to review current processes, identify inefficiencies, ask good questions, and recommend practical improvements.
Ability to learn and apply transportation compliance requirements, including driver files, hours of service, electronic logs, trip inspections, TDG documentation, and related regulatory records.
Previous experience in transportation, fleet, logistics, safety, regulatory compliance, or driver documentation is considered an asset but is not required.
Familiarity with National Safety Code standards, DOT, FMCSA, TDG, or provincial transportation regulations is considered an asset.
Strong attention to detail and ability to maintain organized, accurate, and audit-ready records.
Strong communication skills with the ability to work with drivers, operations teams, Fleet, Safety, and management.
Ability to manage competing priorities in a fast-paced environment.
Valid driver’s license with a safe driving record.
Ability to travel occasionally for business purposes.

This person does not need to know every transportation regulation on day one. However, they should be willing to learn, able to follow regulatory requirements, and comfortable supporting compliance-related documentation, reporting, tracking, and audits.
This role is well-suited for someone who does not simply maintain a process because “that is how it has always been done,” but instead looks for better, cleaner, and more efficient ways to complete the work.
The successful candidate will bring a curious, hands-on approach and be willing to learn new tools, test better ways of working, and help move current processes away from manual or paper-based administration.
