The Administrative Assistant, Transportation provides administrative support to transportation operations by ensuring document coordination, schedule tracking, and communication with drivers and internal teams in order to ensure efficient and compliant operations.
Reporting to the Director of Transportation, the incumbent plays an essential role by supporting the team with the administrative functions of the transportation department.
What you'll be responsible for:
• You provide daily administrative support to the transportation department, including training, toolboxes, Maximo, PPE, lockers, uniforms, ordering, and driver’s licenses.
• You validate timesheets and keep employee tracking dashboards up to date.
• You compile data and produce various administrative reports.
• You support Human Resources activities to ensure deadlines are met.
• You manage document filing and archiving.
• You work closely with key stakeholders, including dispatchers, site managers, and drivers.
• You prepare and follow up on expense claims.
• You process payments for driver invoices.
• You balance the cash at the end of each day.
• You perform general accounting tasks.
• You replace scale clerks or dispatchers as needed.
• You perform any other related duties.
To join our team
• You hold a diploma in administration, office automation, logistics, or a related field.
• You have two to three years of experience in administrative support or a similar role, or any other combination of education and experience deemed equivalent.
• You are proficient with the Microsoft Office Suite, including Excel, Word, and Outlook.
• You are bilingual, both written and spoken, which is considered an asset.
• You have experience in the transportation industry, an asset.
• You have knowledge of transportation or logistics software, an asset.
• You have excellent interpersonal and customer service skills.
• You have strong organizational skills and the ability to manage priorities.
• You demonstrate rigor and attention to detail.
• You are able to work effectively in a team and collaborate.
• You demonstrate autonomy, versatility, and resourcefulness.
