Salary Range: $24-$30 per hour DOE

Job Summary
The Tribal Gaming Commission is seeking a highly organized, detail-oriented Administrative Assistant to provide administrative support within a professional regulatory environment.
This position works directly with the Executive Director and Board of Commissioners and plays a critical role in coordinating meetings, preparing official documentation, maintaining confidential records, and supporting regulatory operations. The Administrative Assistant supports managers and staff by coordinating schedules, preparing documents, maintaining records, and serving as an initial point of contact for internal and external inquiries.
The ideal candidate is discreet, technically proficient, and experienced in supporting leadership in a structured, deadline-driven environment.
Essential Duties
Provide direct administrative support to the Executive Director and Commissioners
Prepare and assemble Board meeting packets, agendas, minutes, and formal resolutions
Coordinate Board and departmental meeting logistics, including scheduling and calendar management (Outlook)
Manage secure electronic document control and records retention using ShareFile, Microsoft Teams, and OneDrive
Maintain organized electronic and physical filing systems in accordance with departmental standards
Draft, format, and proofread correspondence, reports, forms, and other official documents
Track regulatory deadlines and assist with internal reporting requirements
Perform data entry and maintain accurate departmental records
Serve as the initial point of contact by answering and directing calls, responding to inquiries, and greeting visitors
Process incoming and outgoing mail
Order, inventory, and monitor office supplies
Provide cross-departmental administrative support and assist with special projects as assigned
Minimum Qualifications
High school diploma or GED required
Minimum four (4) years of progressively responsible administrative experience
Experience providing administrative support to executive leadership, governing boards, or senior management
Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams)
Experience using ShareFile, Microsoft Teams, and OneDrive for document management and collaboration. Familiarity with tracked changes and formatting
Strong written communication skills, including the ability to draft formal correspondence and documentation
Demonstrated ability to maintain strict confidentiality and handle sensitive information
Minimum typing speed of 40 words per minute (please submit certification at time of application)
Must successfully pass a pre-employment drug screening.
Must successfully complete a comprehensive background investigation and maintain suitability.
Must possess and maintain a valid driver’s license and an insurable driving record in accordance with company policy
Prefered Qualifications
Associate degree in Business Administration or a related field (or equivalent combination of education and experience)
Experience working within a Tribal government, regulatory agency, or legal environment
Demonstrated experience preparing Board packets, agendas, and official meeting minutes
Proficiency with document management systems, database tracking, and electronic records platforms

Tribal Preference:
In accordance with applicable Tribal law and Title VII of the Civil Rights Act of 1964, the Picayune Rancheria of the Chukchansi Indians (PRCI) Administration provides employment preference to enrolled PRCI Tribal Members. To qualify, applicants must submit valid proof of enrollment. Tribal Members who meet the minimum qualifications will be given preference in hiring, promotion, transfer, and layoff decisions. During the interview process, PRCI Tribal Members will receive an additional 7.5 points (10% of the 75-point interview rubric). Non-PRCI Native American candidates will receive an additional 5 points (6.7% of the total points) in accordance with Indian Preference guidelines.
INDIAN PREFERENCE STATEMENT:
In compliance with 25 CFR Part 276 and Title VII of the Civil Rights Act, Sections 701(b) and 703(i), employment preference shall be given to qualified applicants who are enrolled members of the Picayune Rancheria of the Chukchansi Indians, and secondarily, to another qualified American Indian/Alaska Native Candidate.
