Schedule: Full - time, 40 hrs/week Mon-Thurs 7:30 am - 5:30 pm
Job Summary
The Meals on Wheels (MOW) Operations Assistant supports daily operations of the Meals on Wheels Nutrition Program serving homebound seniors & senior centers. This role provides customer service, program coordination, compliance support, volunteer & intern coordination, & backup meal delivery. The MOW Operations Assistant will work closely with the MOW Program Manager & other office staff, drivers, interns, kitchen partners, & volunteers to ensure program goals & mission are accomplished.
Key Responsibilities
Program Operations & Administrative Support
Coordinate daily meal delivery with MOW staff, volunteers, & kitchen partners
Support home-delivered & congregate meal programs across multiple counties
With MOW Manager, ensure monthly menus meet nutrition guidelines & facilitate menu projections from Senior Centers, as well as compilation & distribution of menus
Assist with MOW billing & tracking, contributions banking deposits, & accounts payable documentation
Maintain accurate program records, spreadsheets, & reports while supporting compliance with State and Federal requirements
Maintain inventory management & monthly supply ordering
Assist MOW Manager with fleet & intern task coordination
Assist MOW Manager & other MOW staff, as needed
Client & Volunteer Services
Answer the Meals on Wheels main phone & texting line, providing excellent customer service to senior clients, drivers & volunteers
Follow up with clients, partners, & providers & make referrals to MAG & community resources
Assist Volunteer Coordinator with volunteer program & route coverage, as needed
Print, prepare, & distribute handouts, letters, & other information items for delivery with meals
Required Qualifications
High school diploma or equivalent
Two years of administrative, customer service, or related experience OR equivalent combination of education & experience
Excellent communication & customer service skills
Strong organizational, multitasking, & problem-solving abilities
Proficiency with Google Workspace & Microsoft Office
Comfort working with senior citizens & the general public
Ability to work independently & collaboratively in a fast-paced environment
Valid Utah Driver’s License (or ability to obtain)
Utah Food Handler’s Permit (or ability to obtain)
Physical & Working Requirements
Ability to lift, push, pull, & carry up to 50 lbs.
Ability to drive a vehicle & perform frequent vehicle entry/exit
Regular local travel throughout the service region
Ability to sit for extended periods of time
Office-based work with frequent interaction with the public
