Your mission:

To support our Shipmanagement at the next possible time, we are looking for an Team Assistant Shipmanagement (m/f/d).
YOUR TASKS AND RESPONSIBILITIES:

• Provide administrative support to a Shipmanagement team, including coordination with inspection, crewing and technical purchasing
• Place and track service orders, update data, and align follow‑ups with the team members
• Check, process and distribute invoices and service documentation
• Maintain vessel, partner and responsibility data and ensure accurate absence and visit records in Cloud Fleet Manager
• Coordinate team travel arrangements (flights, hotels, transport, visas) in cooperation with internal interfaces
• Handle incoming and outgoing ship mail and arrange vessel‑related services (e.g., life raft exchange, BQS arrangements)
• Ensure timely issuance, updating and distribution of vessel certificates
• Manage the full stevedore damage process including documentation, tenders, repair coordination, follow‑up and settlement proposals
• Support compliance with ISM, ISO, GDPR and cyber security requirements within the department
• Provide guidance to trainees during their rotation in the inspection team
Your profile:
• Experience in administrative support, ideally in a technical, maritime or operational context
• Strong organizational and communication skills with a structured, detail‑oriented working style
• Confident user of MS Office 365; experience with digital tools such as CFM is a plus
• Fluent English skills; German language skills are nice-to-have
• High intercultural competence and a strong team‑oriented mindset
• Reliability, discretion and a proactive attitude in a dynamic operational environment
