1.Overview and Objectives of the Position:
The Student and Academic Services Coordinator is responsible for providing high quality administrative and student facing support to staff and current students.
The role is responsible for coordinating orientation, graduation, transition to Curtin workshops, reception services, and general office operations.
The position will also be responsible for the activities associated with student records, regulatory reporting, student evaluations and reception.
2. Key Result Areas:
2.1 Student Services & Engagement
• Coordinate all administrative and logistical aspects of Orientation, including preparation of materials, event coordination, student communications, and on‑site support.
• Support student completion, graduation, and transition processes, including planning and delivery of graduation ceremonies and transition‑to‑Curtin workshops.
• Provide high‑quality, professional reception services, ensuring timely and accurate responses to student and staff enquiries.
• Assist with the administration, distribution, and basic reporting of student surveys.
2.2 Academic & Administrative Support
• Support the Student and Academic Services Manager and academic staff in the delivery of academic and student‑facing processes.
• Undertake regular data cleansing activities and prepare associated reports, including reporting for partner providers.
• Maintain student and learning management systems, ensuring data accuracy and timely system rollover each teaching period.
• Generate and maintain reports as required for internal stakeholders, senior management, and external bodies.
• Assist with documenting business processes and identifying opportunities for continuous improvement.
2.3 Office & Operational Management
• Oversee general office administration, including stationery orders, invoice processing and purchase orders.
• Provide administrative and secretarial support to committees as required, including agenda preparation, minute‑taking, and follow‑up actions.
• Ensure the office environment is organised, professional, and well‑resourced.
2.4 Stakeholder & Systems Coordination
• Build and maintain effective working relationships with students, academic staff, professional staff, and external partners.
• Develop performance reports on College/Campus activities for consideration by Senior Management Team, Executive Committee, or Academic Board.
2.5 General Duties
• Provide general administrative support across the Student and Academic Services team as required.
• Undertake other duties consistent with the scope and level of the role.
Selection Criteria
Essential:
• Demonstrated experience in administrative or student services roles within an education or customer‑service environment.
• Strong organisational and time‑management skills with the ability to manage competing priorities.
• Excellent interpersonal and communication skills, with a commitment to high‑quality service delivery.
• Strong attention to detail and accuracy in data entry and reporting.
• Ability to work collaboratively within a team and build effective working relationships.
• Proficiency in Microsoft Office and the ability to learn new systems quickly
• Must have full working rights within Australia.
Desirable:
• Experience in higher education, vocational education, or pathway programs.
• Familiarity with student management or learning management systems.
