POSITION: Sr Manager/Associate Director, Marketing Operations
The salary range for this position is between $140K and $190K. Actual salary at the time of hire may vary and may be above or below the range based on various factors, including, but not limited to, the candidate’s relevant qualifications, skills, and experience.
The company also currently offers a Long-Term Incentive Plan (cash plan) of 20% base salary, annual performance bonus target of 20% base salary (subject to meeting plan requirements) and comprehensive health benefits (employer funded), unlimited vacation time and 401k plan (subject to change or modification from time to time).
POSITION SUMMARY
The SM/AD, Marketing Operations plays a pivotal leadership role in developing and driving operational excellence to ensure smooth execution of marketing programs for QUTENZA. This role ensures the high impact, compliant, efficient, and timely delivery of marketing initiatives by managing and/or overseeing essential operational processes, including speaker program operations, conference planning and support, budget tracking, contract management, marketing call center operations, LMR and cross-functional coordination.
As a key member of the Averitas Marketing team, the SM/AD collaborates closely with Marketing, Market Access, Patient Services and Sales partners to enable day-to-day execution, while also maintaining foundational operations capabilities, tools, and workflows. The role may lead or contribute to marketing projects and initiatives that drive executional excellence and help achieve organizational goals.
KEY RESPONSIBILITIES
Marketing Operations:
Establish, document, and maintain the foundational operational processes, systems, and tools that leverage technology and enable the seamless execution of brand strategies
Act as the operational command center, aligning cross-functional priorities and leading integrated project management across Marketing, Access, and Sales to ensure strategic alignment and flawless execution
Streamline workflows, documentation, and marketing asset storage to improve operational efficiency, minimize manual efforts, and ensure consistent delivery across the organization
Budget Management:
Own the full lifecycle of budget strategy and stewardship—partnering with marketing leadership and finance to proactively shape spend decisions and manage forecast updates, tracking, reallocations, accruals, and variance reporting – to ensure accurate reconciliation and alignment with brand priorities.
Oversee the end-to-end contract management process for Brand Marketing and Access Communications, including submitting vendor contracts and SOWs, initiating and monitoring due diligence reviews and purchase order requests and closeouts, and ensuring timely status updates to the team.
Meet regularly with Finance and marketing leads to ensure alignment with company updates.
Speaker Program Operations:
Ensure the infrastructure is in place to support compliant, well-executed speaker programs that align with brand objectives, including content readiness, speaker utilization, training (internal teams and speakers), and post-event reconciliation processes.
Partner with Compliance to implement SOPs and guidance that support responsible program execution and program transparency.
Oversee speaker program vendor ensuring appropriate alignment with business rules, use of approved materials, attendance at weekly status calls, guidance on exception requests and overall monitoring of budget spend.
Proactively monitor program data to ensure field teams are operating within guardrails and driving appropriate utilization and communicate monthly with field team leadership.
Partner with Finance and Compliance to ensure accurate transparency reporting and compliance with Averitas policies and guidelines.
Conference Planning:
Drive budget planning and support execution of national conferences and congresses in collaboration with Sales, COMEX, Access and Medical teams.
For national conferences, manage timelines, symposia and sponsorship activities, booth assets and staffing, lead capture, and post-event debriefs to optimize impact and customer engagement.
Responsible for event planning, logistics, and coordination to guarantee a smooth conference experience including cross functional "Know Before You Go" sessions, ensuring adherence to compliance guidelines and regulations in all conference-related activities; conference debriefs; timely completion of aggregate spend activities for accurate reporting.
Inventory Management:
Establish and document effective ways of working that ensure timely inventory management including:
Print and fulfillment process (distribution of both digital and print promotional materials), including production vendor management
Reporting on promotional material utilization to inform proactive decision-making on reprint quantities and timing to avoid stock outs and rush orders
Updating and expiry of materials and communication of disposal/destruction guidance to field teams and other authorized users, including timely completion of relevant attestations
Review and distribution of the Resource Roadmap so the field team is clear on appropriate use of approved content
Manage archiving and destruction of expired materials
QUALIFICATIONS
Bachelor’s degree or equivalent in marketing or communications-related field.
4+ years of experience in Marketing Operations and tactical execution in the pharma/biotech industry; creative agency and/or project management experience will be considered.
Experience with specialty brands and buy and bill fulfillment preferred.
Experience successfully and independently managing multiple external vendors and leading speaker program operations.
Comprehensive experience in meetings management, sourcing, and procurement.
Strong ability to partner across functions and build successful relationships with functional leaders.
Proven ability to successfully work and deliver in a dynamic, agile, and fast-paced environment.
Excellent interpersonal, planning, and presentation skills with a demonstrated ability to successfully manage multiple projects.
Highly analytical with strong critical thinking skills and ability to interpret data from multiple sources.
Experience with Veeva PromoMats and Veeva Vault.
Fluent in use of Microsoft Office suite (e.g., Excel, Access, Word and PowerPoint).
