The Spravato & Medication Coordination position is responsible for coordinating the safe, compliant, and efficient delivery of Spravato (esketamine) treatment and supporting clinic-wide medication management processes for multiple locations. This role serves as the liaison between providers, nursing/paramedic staff, specialty pharmacies, payors, and patients to ensure REMS compliance, accurate medication tracking, timely medication access, and high-quality patient care.
Key Responsibilities:
Spravato & REMS Program Coordination:
Maintain full compliance with Spravato REMS requirements, including:
Patient enrollment, consent, and REMS documentation
Facility and provider certification tracking
Required REMS reporting and audits
Work with providers when changing ordering/REMS contact information.
Coordinate Spravato treatment schedules, patient flow, and observation requirements.
Assist teams with daily questions or concerns regarding REMS.
Pharmacy & Medication Coordination:
Serve as the primary liaison with specialty and retail pharmacies for Spravato and other clinic-administered medications.
Coordinate medication ordering, shipment tracking, receipt, and discrepancy resolution.
Verify medication accuracy upon receipt (drug, dose, quantity, lot number, expiration date).
Maintain secure storage and organization of medications in accordance with:
REMS requirements
Clinic medication handling policies
State and federal regulations
Track medication usage, wastage, and expiration dates.
Assist with medication recalls, returns, and destruction processes per policy.
Inventory Control & Documentation:
Maintain accurate medication inventory logs and reconciliation records.
Conduct routine and spot inventory audits and report discrepancies immediately.
Support controlled substance documentation.
Ensure proper documentation of medication administration, monitoring, and adverse events in the EHR.
Insurance & Authorization Support:
Coordinate with prior authorization staff to ensure:
Medication approvals and renewals are in place prior to treatment
Required documentation is submitted timely to payers and pharmacies
Communicate medication-related coverage issues to providers and leadership.
Assist with billing denials to answer any questions and support the billing staff on resolution.
Quality, Safety & Compliance:
Monitor for medication-related adverse events and report per clinic policy.
Assist with internal audits, REMS inspections, pharmacy reviews, and payer audits.
Support training of clinical and administrative staff on Spravato workflows and medication handling protocols.
Identify process improvement opportunities related to medication access, inventory, and workflow efficiency.
Work with the credentialing team to maintain provider DEAs with vendors
Required Qualifications:
Healthcare experience required (CMA, LPN, Pharmacy Technician, or equivalent clinical/medication coordination experience)
Experience in medication coordination, inventory management, or specialty pharmacy workflows preferred
Strong understanding of medical documentation and EHR systems
Excellent organizational, communication, and problem-solving skills
Ability to maintain HIPAA and regulatory compliance
Preferred Qualifications:
Experience with Spravato REMS programs
Pharmacy technician certification or equivalent experience
Experience in interventional psychiatry, infusion services, or outpatient specialty clinics
Familiarity with controlled substance handling and documentation standards
Physical & Work Requirements:
Ability to work in a fast-paced outpatient clinical environment
Ability to handle and store medications safely and securely
