Job Purpose
The Sponsorship & Benefit Specialist is responsible for managing the execution of sponsorship commitments and member benefit deliverables for CHIME Foundation firms. This role ensures accurate, timely, and high-quality fulfillment of contracted benefits, supporting strong firm engagement, sponsor satisfaction, and organizational objectives.
Duties and responsibilities
Sponsorship Coordination
Maintain a comprehensive tracker of all sponsorship deliverables across programs and events.
Maintain the Event Resources page for the Foundation team.
Ensure all contracted sponsorship elements (e.g., branding, signage, digital assets, speaking opportunities) are executed accurately and on time.
Coordinate placement of sponsor logos and messaging across event materials, websites, and digital platforms.
Serve as the primary point of contact for sponsors regarding deliverable timelines, asset submission, and approvals.
Act as a liaison between sponsors and internal CHIME teams to ensure smooth execution of sponsorship deliverables.
Provide sponsors with clear instructions, deadlines, and expectations for deliverable submission.
Follow up with sponsors consistently to make sure sponsorship benefits are fully utilized
Review sponsorship materials for accuracy, branding compliance, and quality prior to deployment.
Conduct post-event audits to confirm deliverables were fulfilled and properly documented.
Manage and distribute post-event attendee lists and other reports to sponsors in accordance with CHIME policies and procedures.
Identify opportunities to enhance sponsor visibility and engagement beyond contracted benefits.
Collaborate with internal teams to develop and refine sponsorship deliverable offerings aligned with strategic goals.
Benefit Fulfillment
Manage the benefit submission process using Asana (or similar project management tools), including updating forms and workflows, assigning tasks, and monitoring progress to ensure timely completion.
Leverage and track communication with sponsors in HubSpot.
Track Foundation firm membership benefit usage and ensure benefits are delivered accurately and on schedule.
Collaborate with internal departments to coordinate benefit execution across programs and platforms.
Monitor benefit timelines and proactively address cross-team dependencies to prevent delays.
Ensure all stakeholders are informed of benefit requirements, timelines, and responsibilities through clear communication and shared project tools.
Maintain detailed benefit usage records and proactively communicate with firms to encourage engagement and maximize value.
Process honorariums related to benefit deliverables, ensuring accurate documentation, timely payment, and compliance with organizational policies.
Process Management
Develop, document, and maintain standard operating procedures (SOPs) for sponsorship and benefit fulfillment.
Utilize project management tools to track deadlines, dependencies, and deliverable status across multiple initiatives.
Reporting & Documentation
Prepare and maintain regular reports on benefit usage, sponsorship fulfillment, and return-on-investment metrics.
Track sponsor engagement and deliverable performance to support continuous improvement.
Produce post-event sponsorship reports summarizing deliverable execution and visibility outcomes.
Ensure accurate and organized documentation for internal teams and external stakeholders.
Qualifications
Bachelor’s degree in Business, Marketing, Communications, or a related field.
2+ years of experience in sponsorship coordination, membership services, event support, or a related role.
Strong organizational and time-management skills with exceptional attention to detail.
Excellent written and verbal communication skills with a strong customer service mindset.
Proficiency in Microsoft Office Suite.
Experience using Asana or similar project management tools (e.g., Monday.com, Smartsheet, Trello) required.
Experience working with CRM systems preferred.

This is a remote based position, but some travel will be required.
