TITLE: Site Supervisor
DIVISION: Head Start
REPORTS TO: Head Start Director
SUPERVISES: Assistant Site Supervisor, Teachers, Teacher Aides, Program Assistants, Parent Coordinators,
Office Associates, Cooks, Custodians, Bus Drivers
FLSA: Exempt, Non-Medical (E-NM)
I. POSITION SUMMARY:
Oversees the daily operation and monitoring of the center (s) and supervises all staff assigned to the site (s) and ensures compliance with Head Start Performance Standards and local and state guidelines.
II. ESSENTIAL FUNCTIONS:
Coordinates and schedules all staff to ensure classroom ratios and site coverage based upon DCFS Licensing Standards, Head Start Performance Standards, and Southern Seven policies and procedures. Assigns other employees to fill in for absent employees or performs job his or her self.
Assures that all children are supervised at all times.
Coordinates all staff activities and job duties at site including orientation, supervision, and evaluation of staff (gaining input from others from the management team as needed). Follows and administers Progressive Discipline as per policy.
Ensures the implementation of Head Start Performance Standards and local and state guidelines as well as Southern Seven Policies and Procedures. Final decisions concerning compliance with service area issues rest with the Service Team, Early Childhood Director, and Early Childhood Administrator.
Reviews and approves all time sheets, travel vouchers, and leave of absence requests and submits all forms to Payroll Department on a timely basis. Keeps Human Resources Administrator informed on potential Family Medical Leave or Extended Medical Leave requests or attendance issues.
Ensures that all required documentation and reports are completed accurately and submitted to the Administrative Office on a timely basis.
Coordinates team interview process when vacancies are from his/her site (s), schedules interviews with the Administrative Office and Policy Council, makes recommendations to Human Resources, and completes all paperwork in a timely manner.
Assists education staff in the classrooms as needed and provides support to teaching teams when addressing children exhibiting challenging behaviors. Supports site (s) in participation in State QRIS system.
Maintains a DCFS file for all employees assigned to site (s) and is responsible for making sure that all information is up-to-date. Tracks and ensures that all education staff are CPR/First Aid certified at all times. Schedules staff for monthly CPR/First Aid trainings.
Conducts daily inspection to maintain the safety of children, staff, and volunteers in the building and playground. Ensures any identified problems are reported and completes any needed work orders in a timely basis and all accidents (children, employees, volunteers, or property) are reported on the Southern Seven Incident Report and submitted to Human Resources.
Keeps self and center staff informed of latest developments in Southern Seven policies and procedures.
Monitors the inventory of site materials, supplies, and equipment. Completes Purchase Requisitions and makes purchases after the approval process for the center while staying within the budget for the site (s). Submits all receipts to the Business Office in a timely manner.
Works with the Parent Coordinator (s) to assist with organizing a Parent Group and setting up monthly meetings and activities.
Conducts monthly staff meetings and including staff in appropriate decision making processes. Participates in monthly Management Team and Site Supervisor meetings.
Maintains child, family, and employee confidentiality. Assists with ensuring that all center files are maintained in accordance with all Southern Seven policies and procedures.
Identifies potential problems, forms logical solutions, and inform Head Start Administration.
Responsible for developing a partnership with parents and caregivers in the Head Start program and encourages each parent/caregiver to take in active role in their child’s Head Start experience.
Participates in the federal and annual program review and Community Assessment process.
Responsible for recruitment of Head Start eligible children, in coordination with other Head Start staff, for enrollment into the Head Start program. Completes intakes with families for application into the program.
Responsible for carrying out best practices for safety procedures concerning children, staff, families, and community individuals and for assessing current practices and finding ways and areas needing improvement.
Responsible for participating in activities and attitudes that promote positive public relations and positive image for the program and agency.
Complies and is familiar with the requirements of the policies and procedures adopted by Southern Seven Health Department as required by the Health Insurance Portability and Accountability Act (HIPAA).
III. NON-ESSENTIAL FUNCTIONS:
Responsible for cleanliness of facility, playgrounds, vehicles, and other areas applicable to the well-being and image of the program.
Rides bus to ensure safe transportation and supervision of all children. Utilizes checklist for children to ensure that all children are accounted for when entering and exiting the bus.
Participates on the site safety committee and/or any other site/agency committees as assigned by Supervisor.
IV. TRAINING COMPONENT
Participates in continuing education and staff development through coaching, seminars, conferences, or work shops at personal or departmental expenses.
V. ADDITONAL DUTIES AND RESPONSIBILITIES:
A. All duties necessary to meet requirements of Head Start Program.
VI. QUALIFICATIONS:
A. Education, Training and Experience:
Must be at least twenty one years of age, AND
Prefer Bachelors Degree in Early Childhood OR
Bachelors Degree in approved related field with 21 hours of Early Childhood OR
Associates Degree in Early Childhood OR
Associates Degree in approved related field with 21 hours of Early Childhood AND
3 years previous Supervisory experience required.
B. Knowledge, Skills and Abilities:
Effective oral and written communication skills
Organization and supervisory ability
Basic Computer Skills
C. Certification and Other Requirements:
1. Requirements: DCFS background/criminal check, DCFS Physical, Mandated Reporter, valid driver’s license
& auto liability insurance, DCFS Licensing required courses, Food Manager Certification, and CPR/First Aide
2. Recommendations: Hepatitis B Vaccine
D. Physical Requirements:
Strength: Lift/carry up to 40 pounds on occasion and 20 pounds frequently.
Movement:
Routine: Sit, walk, or stand for prolonged periods of time.
Lift horizontally and vertically, bend and stoop, push/pull, twist, carry, crouch, squat, kneel, crawl, climb, reach above shoulder level.
Hear and understand speech at normal room levels and on the telephone.
Occasion: Use near visual acuity to review both written documents and text on computer monitor.
Drive an automobile.
Operate a telephone, keyboard and mouse.
