Job Summary:
Site Operations Supervisor
Location: On-site Villa Park & Wheaton
Days/Hours: Monday - Friday, 9:30 am - 6:00 pm
The Site Operations Supervisor oversees the daily operational activities of a diagnostic imaging office to ensure efficient patient flow, high-quality service, regulatory compliance, and staff recruiting and performance. This role provides on-site leadership to front-desk, scheduling, and support staff while collaborating closely with technologists, radiologists, upper management to support safe and timely imaging services.
Key Responsibilities:
Supervise daily operations of the diagnostic imaging site with 10 - 25 employees.
Lead and support front-desk, scheduling, and support staff to ensure an excellent patient experience.
Coordinate patient flow to minimize wait times and optimize imaging schedules.
Monitor appointment scheduling, registration accuracy, and insurance verification processes.
Conduct daily site walk-throughs to ensure readiness, cleanliness, and safety.
Address patient concerns and service issues professionally and promptly.
Ensure compliance with HIPAA and company policies and procedures.
Ensure proper use and maintenance of office equipment and supplies.
Oversee adherence to office policies and procedure. Provide policy reinforcement and re-training
General facilities management
Assist with staff onboarding, training, and performance coaching.
Support technologists and clinical leadership with operational needs (room readiness, staffing coordination, supply availability).
Monitor attendance, timekeeping, and productivity metrics.
Assist senior management in creating and presenting performance reviews and disciplinary actions.
Communicate operational updates, issues, and performance metrics to senior management.
Identify opportunities for process improvement and workflow efficiency.
Assist with call volume, instant messages/emails, administrative tasks, and escalated calls as needed.
Perform all other duties as assigned.
Qualifications:
High school diploma or GED required; Degree in business /health administration or equivalent business related experience, preferred
2–5 years of experience in healthcare operations, medical office management, or diagnostic imaging environment.
Prior supervisory or lead experience preferred.
Expertise in medical office workflows, scheduling, and patient registration.
Familiarity with insurance verification and basic billing processes.
Strong understanding of HIPAA and patient confidentiality requirements.
Excellent communication, leadership, and problem-solving skills.
Proficiency with EMR/RIS, scheduling systems, and basic office software preferred
Ability to multitask in a fast-paced, patient-focused environment.
Physical & Work Requirements:
Ability to stand, walk, and move throughout the imaging center during the workday, with accommodation.
Occasional lifting of office or clinical supplies up to 20lbs
Flexible scheduling may be required based on patient volume and staffing
Hand and finger movement to support keyboard use, with accommodation.
Eye sight to read computer screen, with accommodation
Ability to identify big picture/small picture issues and determine solutions
