Position Summary
The Shelter Operations Supervisor serves as a mid-level leader within Safe Harbor’s Shelter Operations and Client Support Team, providing daily coordination, supervision, and operational support across designated shelter sites. This role works in close partnership with the Director of Shelter Operations to ensure that shelter environments are safe, structured, and aligned with trauma-informed care practices.
This position focuses on staff supervision, operational consistency, and real-time oversight of shelter activities. The Shelter Operations Supervisor is actively present in the shelter environment, observing workflow, guiding staff performance, and reinforcing expectations to ensure smooth and consistent daily operations.
The Shelter Operations Supervisor plays a key role in supporting staff development, reinforcing communal living standards, responding to shelter and facility needs, and helping ensure a well-organized, client-centered environment where survivors and their children can focus on safety and healing.
Key Responsibilities
Team Support & Supervision
Provide direct supervision to the Shelter Operations Coordinator and Client Support Specialist – Floaters
Coach, guide, and support staff in daily shelter operations, client interactions, and trauma-informed practices
Observe shelter operations in real time and provide guidance, redirection, and support to staff as needed
Assign, monitor, and follow up on responsibilities such as documentation, shelter routines, shared space upkeep, and operational tasks
Support shadow training and hands-on skill development for new and existing staff
Model professionalism, consistency, and trauma-informed engagement in all staff interactions
Shelter Operations & Oversight
Conduct regular shelter walk-throughs to assess cleanliness, organization, safety, and overall flow
Monitor daily shelter operations to ensure tasks, routines, and expectations are being followed across shifts
Identify and address patterns related to staff performance, client concerns, or operational gaps
Reinforce communal living expectations in a way that is structured, respectful, and trauma-informed
Ensure consistency across shifts by reinforcing clear expectations and accountability
Facilities, Vendors & Operational Coordination
Support the Director of Shelter Operations in coordinating vendors, maintenance needs, work orders, and volunteer-related activities
Assist in tracking, organizing, and following up on work orders to ensure timely completion and communication of facility needs
Help ensure all facility-related work aligns with safety standards, confidentiality, and operational expectations
Supplies, Systems & Shelter Functionality
Support oversight of shelter supplies, inventory, and grocery coordination
Assist in maintaining systems that support shelter organization, including trackers, logs, and shared tools
Help ensure shelter readiness for inspections, safety checks, and day-to-day operations
Support coordination of shelter activities, events, and community-building efforts
Documentation & Communication
Monitor staff use of documentation systems to ensure accuracy, consistency, and completion
Reinforce expectations for documentation, communication, and follow-up across shifts
Support communication between staff, supervisors, and departments to ensure alignment
Assist the Director of Shelter Operations with implementing updates to procedures and workflows
Additional Responsibilities
Attend meetings, trainings, and supervision sessions as required
Support and model the mission and vision of Safe Harbor in daily work
Perform other duties as assigned by the Director of Shelter Operations
Assist in addressing emerging needs to ensure smooth shelter operations
Qualifications
Bachelor’s degree preferred; an associate degree with relevant experience will be considered
Minimum 2+ years of experience in shelter operations, residential programs, or a related human services environment
Experience in a lead or supervisory role supporting staff, operations, or program functions
Strong leadership, communication, and problem-solving skills
Ability to manage staff performance, operations, and workflow in a fast-paced environment
Computer literacy, including Microsoft Office (Outlook, Word, Excel, Teams) and database systems
Valid driver’s license with a clean driving record required; ability to safely operate agency vehicles as needed to support shelter operations
Work Environment & Physical Requirements
Work occurs in residential shelter environments serving survivors of domestic abuse and their children
Requires frequent walking, standing, and engagement in shared spaces
Ability to lift and transport supplies (up to 25–30 pounds)
Must be able to respond calmly and effectively to crisis situations
Flexibility in schedule may be required to meet operational needs
