About the team
Our General Health Services team is critical to the success of Doctor Anywhere. We are a team of healthcare professionals who oversee Doctor Anywhere ’s medical operations including clinics, telemedicine and mobile services. With our patients as top priority, our team works closely together to deliver the benefits of innovative medical technology.
About the role
We are looking for a capable and experienced Senior Executive, Clinic Operations to take a leading role in ensuring the smooth running of daily clinic operations across our clinic group. You will support the Manager in implementing operational strategies, improving service delivery, and driving efficiency. This role requires critical thinking, operational insight, and the ability to guide junior staff while collaborating across departments.
A summary of the key responsibilities are as follows:
Operations Support
Support the Clinics to ensure seamless day-to-day operations across multiple clinic sites
Provide operational guidance to Clinic Staffs and assist with resolving escalated issues
Identify and recommend improvements to enhance clinic workflows, efficiency, and service quality
Perform higher-level clinic duties during transitions, staff shortages, or projects, while also overseeing front-line performance
Support implementation and coordination of new initiatives (e.g. new services, technology rollouts)
Coordinate setup of remote teleconsultation services, including administrative planning and operational readiness
Encrypt and verify sensitive medical documents for secure patient transmission
Review and validate clinic-generated reports, including expiry drugs lists, for approval submission
Inventory and Asset Management
Supervise clinic inventory practices to ensure optimal stock levels, reduce wastage, and maintain accurate records
Lead follow-up on discrepancies in monthly stock reports and ensure timely resolution
Workforce & Capacity Planning
Assist with advanced rostering and staff deployment planning to maximize clinic productivity
Recommend roster optimizations and support infrastructure readiness across assigned sites
Support coordination of short-term manpower adjustments and escalations.
Patient Feedback and Service Recovery
Work closely with Manager in handling complex or escalated patient feedback and complaints
Ensure thorough documentation, timely follow-up, and appropriate resolution of service-related issues
Identify recurring patient experience concerns and propose service improvement measures
Appointment & Scheduling Management
Oversee the maintenance of the clinic’s appointment booking system (e.g., TimeTap), ensuring schedules align with clinical availability and demand
Lead the creation of new appointment types and guide Executives on system updates
Troubleshoot complex scheduling conflicts and optimise appointment flows.
SOP & Process Development
Work closely with Manager or Assistant Manager to actively revise and implement SOPs
Guide Clinic Staffs in SOP compliance and share feedback for continuous improvements
Maintain and organise SOP records, ensuring readiness for audits and internal reviews
Financial & Billing Responsibilities
Oversee accurate submission of vendor invoices and perform secondary verification checks
Manage clinic refund requests, including verification, escalation, and liaison with finance for approval
Support monthly P&L reporting by collating operational data and identifying trends or anomalies
Work with the Manager or Assistant Manager to identify billing or workflow inefficiencies and recommend improvements.
Other Duties
Undertake special assignments or operational support duties as directed by the Manager
About you
Minimally a Diploma holder with 5 years prior relevant working experience.
Proficient in Clinic Management System (CMS), Third Party Administrator (TPA) claims and Government subsidies
Strong leadership, communication, multitasking, and problem-solving skills
Computer Literacy is required
Unquestioned integrity and high standards in the work you do
