We are looking for a highly organized, technically minded individual to become the backbone of our service repair process.
As our Service Estimating & Materials Coordinator, you will be responsible for building accurate repair estimates from technician findings and ensuring every job has the correct parts, materials, and coordination in place so our technicians can complete repairs efficiently and without delays.
This is a critical operations role that directly supports our technicians in the field and plays a major part in improving customer experience, technician productivity, and first-trip completion rates.
If you understand how service repairs actually happen in HVAC, plumbing, or electrical—and enjoy solving logistical puzzles—this role is for you.
What You’ll Do
Service Repair Estimating (Primary Focus)
Review technician notes, photos, and equipment information from service calls
Build accurate repair estimates using flat-rate/task pricing
Determine all parts and materials required to complete repairs correctly the first time
Document and update estimates in our ServiceTitan system
Work with service managers when clarification is needed on complex repairs
Materials Ordering & Tracking
Source, verify, and order required parts from approved vendors and supply houses
Track material ETAs and proactively communicate any delays
Coordinate with our warehouse team to ensure materials are received and staged for technicians
Coordination & Communication
Keep dispatch and service managers informed on job readiness
Maintain clean, accurate work order documentation
Help eliminate unnecessary technician trips to supply houses or return visits due to missing parts
A Typical Day Might Include
Reviewing service calls that need estimates built
Communicating with vendors to confirm pricing and availability
Ordering parts for approved repairs
Tracking shipments and updating job statuses
Coordinating with dispatch and warehouse throughout the day
Ensuring upcoming jobs are fully prepared for technicians
What We’re Looking For
Strong understanding of service repairs and common materials used in the trades
Ability to read technician notes and understand repair needs without hand-holding
Strong organizational skills and attention to detail
Comfortable using software systems (ServiceTitan experience is a plus)
Excellent communication and follow-through
