Summary:

Vaxcyte has an opportunity for a Senior Project Manager to manage complex, cross‑functional initiatives focused on IT, Finance, and Laboratory Systems implementations, ensuring smooth delivery across planning, requirements, system design, testing, deployment, training, and change management. This leader partners closely with finance teams, scientific/lab operations, IT, and vendors to deliver technology solutions that improve data integrity, operational efficiency, and strategic decision‑making.
The ideal candidate brings substantial experience managing systems implementations, a deep understanding of financial and laboratory workflows, and the ability to drive clarity, alignment, and execution across diverse stakeholder groups.

Essential Functions:

• Provide project management expertise in implementation of financial systems, lab informatics systems (LIMS, ELN, LES, instrument data platforms), and related IT business applications.

• Develop and maintain comprehensive project documentation including project charter, project plan, communication plan, risk management documentation, etc.

• Collaborate with cross‑functional stakeholders across Finance, IT, Lab Operations, Quality, Supply Chain, and external vendors.

• Drive all project phases: requirements gathering, solution design, configuration, integration, testing, validation, deployment, and hypercare.

• Facilitate regular project meetings, decision logs, documentation, and communication of updates to leadership and sponsors.

• Identify risks, constraints, and dependencies early; drive mitigation planning and contingency strategies.

• Lead change management strategies including communication plans, training, and post‑go‑live support.

• Leverage new systems to streamline workflows across finance and laboratory operations.

• Standardize processes, data models, and reporting across functions to strengthen operational efficiency and data reliability.

Requirements:

• Bachelor’s degree in business, information technology, or a related field. Master’s degree preferred. Other combinations of education and/or experience may be considered.

• Minimum 8 years of project management experience in IT system implementations, including work with finance systems and lab informatics systems.

• Experience in biotechnology, pharmaceuticals, medical devices, or other regulated scientific environments.

• Experience with change management frameworks.

• Familiarity with GxP validation practices and documentation.

• Proven success leading multiple projects in complex, multi‑stakeholder organizations.

• Experience working with scientific, finance, and IT teams simultaneously.

• Strong understanding of financial processes (budgeting, GL, AP/AR, procurement, reporting) and laboratory workflows (sample lifecycle, instrument data, QA/QC, data integrity).

• Advanced proficiency in Smartsheet, including; Complex project plan development, Automation workflows, Portfolio and executive‑level dashboards

• Demonstrated ability to build dashboards and reporting tools that summarize health, risks, KPIs, and resource status for leadership.

• High level of organization, analytical thinking, resourcefulness, and problem‑solving.

• Ability to thrive in dynamic, high‑growth environments with evolving priorities.

• Excellent verbal and written communication skills, with the ability to engage and influence stakeholders at all levels.

Reports to: Senior Director, Business Process Excellence

Location: San Carlos, CA

Compensation:

The compensation package will be competitive and includes comprehensive benefits and an equity component.

Salary Range: $166,000 - $195,000 (SF Bay Area). Salary ranges for non-California locations may vary.
