Role
The mission of this role is to dramatically increase the CEO’s effectiveness by owning scheduling, travel, and key logistics end-to-end, protecting executive focus, and raising the operating tempo across day-to-day execution.
Responsibilities
• Own the CEO’s calendar end-to-end using clear decision rules and tight prioritization to reduce scheduling back-and-forth and protect deep work time.
• Coordinate complex, multi-timezone meetings with clear agendas, links, locations, and buffers to keep stakeholders aligned and meetings high-signal.
• Manage travel end-to-end, including last-minute changes and risk mitigation
• Triage inbox and comms by filtering threads, and drafting concise replies for review to keep communication context-complete and fast.
• Run meeting logistics and key exec check-ins by stacking meetings when possible and ensuring next steps are captured and followed through.
• Make reversible, low-impact decisions independently, and escalate promptly on high-stakes topics.
What Success Looks Like
• First 30 days
• Learn preferences, decision rules, and escalation thresholds.
• Take full ownership of scheduling loops and reduce back-and-forth.
• Deliver a consistently useful weekday “daily ping” that helps the CEO start the day with clarity.
• Start proactive calendar cleanup (conflicts, stacking, hygiene).
• First 4 months
• Operate autonomously with minimal need to keep the CEO in CC.
• Keep the calendar clean weeks ahead with realistic buffers and protected focus time.
• Handle travel changes smoothly with low stress for the CEO.
• Become a trusted operator for exec logistics and follow-through.
• In 1 year
• Be a durable force multiplier: time protected, priorities executed, and follow-through reliable.
• Systematize core exec ops (cadences and lightweight playbooks) without adding complexity.
