We’re seeking a dynamic, highly organized Executive Assistant to work primarily with one of our Managing Partners and help coordinate leadership operations across key company functions—ideally bringing existing know-how to immediately lighten the Managing Partner’s workload by keeping everything up to date and readily accessible.
What You’ll Do
• Capture and organize notes, decisions, and action items from key discussions, tracking them through to completion with relevant stakeholders.
• Proactively follow up on decisions and priorities from the Managing Partner, nudging owners on deadlines and maintaining clear visibility on the status of key initiatives.
• Help maintain and improve simple workflows and templates for recurring reports, projects, and processes (e.g., checklists, trackers, standardized formats).
• Coordinate inputs from different teams (reports, updates, decks) and ensure they are delivered on time and in the right format.
• Assist with special projects and research requested by the Managing Partner, preparing concise briefs, summaries, and basic analyses.
• Provide occasional support on personal tasks (e.g., research, coordination, or light logistics) to further streamline the Managing Partner’s focus.
• Handle sensitive information with a high level of discretion and professionalism.
Requirements:
• 3–5+ years of experience in executive support, project coordination, or operations, ideally supporting senior leaders in fast-paced environments—with existing know-how to hit the ground running and keep the Managing Partner’s world organized and up to date from day one.
• Exceptionally organized, detail-oriented, and a clear, concise communicator in both written and verbal contexts.
• Boldly proactive—comfortable pushing for clarity, following up with stakeholders, and keeping tasks and projects on track with minimal supervision.
• Fluent in English with outstanding written and verbal communication skills; additional languages are a plus.
• Comfortable working across time zones and willing to adapt your schedule to support colleagues in both EST (US) and CET (Europe) when needed.
• Able to thrive under pressure, staying calm, resourceful, and focused when priorities shift or urgent matters arise
• Tech-savvy and quick to learn new tools, with a strong preference for structure, process, and operational excellence.
