Role Overview

Our client is seeking a Senior Executive Assistant to provide high-level operational and administrative support to their executive leadership team. This role is responsible for ensuring executives operate in a structured, organized, and efficient environment while managing a fast-moving business.

The position focuses on calendar ownership, communication management, task tracking, and executive operations coordination. You will help manage priorities, ensure commitments are tracked, and maintain clear visibility into executive schedules and deliverables.

This role requires someone who thrives in fast-paced environments, can operate with minimal direction, and exercises strong judgment when prioritizing requests. The ideal candidate is highly organized, proactive, and comfortable supporting senior leaders while maintaining structure across daily operations.

Your Impact

In this role, you will play a critical part in enabling leadership to focus on high-level strategy, partnerships, and company growth. By managing executive schedules, communications, and operational follow-through, you will help reduce friction in daily workflows and improve leadership efficiency.

Your work will ensure executive calendars remain organized, deadlines are consistently tracked, and commitments are completed on time. You will create visibility into priorities, maintain operational structure, and support the smooth coordination of internal and external interactions.

Ultimately, your contribution will help leadership maintain focus on strategic initiatives while ensuring the operational details of the business remain organized, predictable, and well-managed.

Core Responsibilities

Executive Calendar & Scheduling – 30%

• Own and manage executive calendars across PST time zone operations.
• Coordinate internal and external meetings while protecting executive focus time.
• Prepare daily schedules and ensure leadership is ready for upcoming meetings.
• Evaluate urgency of meeting requests and prioritize scheduling accordingly.
• Maintain structured calendars with key dates, deadlines, and commitments.

Inbox & Communication Management – 25%

• Manage and filter executive inboxes to maintain clarity and organization.
• Prioritize communications involving partners, investors, and key stakeholders.
• Draft or coordinate responses for executive communications when required.
• Monitor and coordinate messages across platforms including email, Slack, SMS, and Discord.
• Ensure outbound communication is accurate, professional, and well-reviewed.

Task Tracking & Follow-Up – 20%

• Track commitments, deadlines, and action items across executive priorities.
• Maintain organized trackers that provide visibility into leadership tasks.
• Proactively follow up on outstanding items to ensure timely completion.
• Provide structured updates on pending deliverables and commitments.

Project Management Support – 15%

• Assist with coordination of executive initiatives and operational projects.
• Support progress tracking and ensure initiatives move forward on schedule.
• Help stabilize workflows and operational processes where needed.
• Execute tasks independently while maintaining alignment with leadership priorities.

Travel & Operational Coordination – 10%

• Arrange executive travel and manage itineraries aligned with meeting schedules.
• Adjust logistics when priorities or schedules shift.
• Prepare meeting agendas and assist with executive preparation.


Requirements:
Must-Haves (Required)

• 5+ years of experience supporting senior executives or C-suite leaders as an Executive Assistant or similar role.
• Proven experience operating in fast-paced or high-growth environments.
• Strong organizational and time management skills with the ability to manage multiple priorities.
• Excellent written and verbal communication skills in English.
• Ability to work PST hours and prepare executive schedules ahead of the workday.
• Strong judgment when prioritizing requests and protecting executive time.
• High attention to detail, especially in written communication and coordination tasks.
• Ability to operate independently with minimal supervision.

Nice-to-Haves (Preferred)

• Experience supporting leaders in entertainment, gaming, technology, or creative industries.
• Familiarity working with international teams or distributed organizations.
• Interest or passion for video games or gaming culture.
• Experience working with entrepreneurial or creative leadership teams.
