We are seeking qualified candidates to serve as our Secretarial Support Services Manager. The primary purpose of this position is to manage the Cleveland Office secretarial support services, firmwide word processing department, and third party vendors supporting the department. Develop and maintain secretarial work groups and team leader program to ensure the timely, effective distribution of daily, balanced workloads. Plan strategic staffing configurations in conjunction with service needs and business goals of the Firm, including maximization of resource utilization. Manage overtime and other operating expenses relative to secretarial and word processing support. Hire, coach and develop secretarial and word processing talent to maintain the Firm's quality service standards

 

Job responsibilities include but are not limited to:

Recruiting and hiring direct reports, including integrating new employees to Firm policies and procedures.

Communicating with Director of Operations and Facilities regarding secretarial and/or word processor performance issues.

Supervising and coaching/counseling Cleveland secretarial and firmwide word processing staff. Administering and conducting performance evaluations. Analyzing and resolving secretarial and word processing issues; investigating, documenting, disciplining, and discharging in accordance with established firm policies and procedures.

Collaborating with Legal Software Trainer regarding secretarial and word processing training and development needs; participating in the design and development of training programs.

Organizing and leading Cleveland secretarial, firmwide word processing and Team Leader meetings.

Managing Cleveland secretarial/firmwide word processing overtime usage.

Recommending merit increase and bonus amounts for Cleveland secretaries and firmwide word processors.

Overseeing firmwide word processing service function, including reviewing/analyzing word processing statistics; monitoring utilization and recommending best practices.

Communicating with timekeepers regularly regarding the performance of individual secretaries, word processors, secretarial/word processing initiatives, and service enhancements.

Managing, reviewing and approving Cleveland secretary and word processor timecards, as well as managing staffing coverage for scheduled and unscheduled absences.

Qualified candidates will have a Bachelor’s degree and a minimum of 10 years law office experience along with some teaching or training background. Candidates should also have a minimum of 5 years of supervisory experience. Ability to organize and prioritize numerous tasks and complete them under time constraints is essential. Must have outstanding interpersonal and customer service skills.
