The Scheduling Coordinator’s role is to support the delivery of in-store promotional campaigns across major Australian supermarket chains. These campaigns typically involve food tastings and product promotions delivered on behalf of a variety of food manufacturers.
You will be the central point of coordination between our internal team and a large pool of field representatives (up to 100 active personnel, typically coordinating around 20- 30 events per week). While campaigns are already scoped and in market, this role is critical to ensuring smooth daily execution - managing schedules, resolving issues at short notice, and maintaining clear communication across all parties. This is a hands-on coordination role within a small team and will suit someone who enjoys being responsible for the operational activity of day-to-day tasking, solving practical problems in real time.
• Coordinate and schedule field representatives for in-store campaigns across Australian supermarket locations.
• Act as the main liaison point for in-field staff, managing daily communication, changes, and escalations.
• Respond to short-notice issues, including staff availability changes, store-related challenges, or last-minute rescheduling.
• Maintain accurate schedules, trackers, and campaign information using Excel.
• Ensure campaigns are executed in line with Australian retailer requirements and operational expectations.
• Communicate clearly and professionally with field staff, internal stakeholders, and clients.
• Prepare and distribute client reports using established, template-based formats.
• Maintain accurate records and follow up on outstanding actions.
• Provide general coordination and administrative support to the wider team as required.
Requirements:
• Bachelor’s degree in Business Administration, Operations Management, or a related field
• Prior experience working in an Australian operational, retail, promotions, or coordination environment (highly regarded)
• Strong Excel skills (data entry, filtering, formatting, tracking - no advanced formulas required)
• Confident communicator with excellent verbal and written skills and experience with internal and external stakeholders across various backgrounds.
• Proven ability to manage multiple priorities in a fast-paced, reactive environment
• Quick problem-solver with a calm, practical approach
• Experience coordinating field-based staff or managing schedules is advantageous
• Exposure to Australian supermarket operations, FMCG, or in-store activations is an advantage
• Highly organised and detail-focused
• Adaptable and resilient when plans change at short notice
