JOB SUMMARY: Through cooperation and partnership with Operations, the Scheduling and Attendance Coordinator will have primary responsibility for people scheduling. They will utilize standardized scheduling tools and rules to ensure the production and support departments are adequately staffed to support the needs of the business. The Coordinator will work closely with Operations and HR to proactively plan and fill staffing needs.
ESSENTIAL FUNCTIONS:
Responsible for proper staffing levels in production and support departments to achieve production schedule:
Create, distribute and maintain 2-3 weeks of schedules for all hourly employees
Update and communicate changes to schedule with as much notice as possible
Track time and attendance in payroll/HRIS systems
Monitor call in lines, assign attendance points, communicate with Supervisors and HR on call outs
Time off approvals and denials
Assist in finding coverage for employees on PTO
Draft attendance related disciplinary documents
Correct missed punch forms
Work directly with staffing agencies to fill open positions and special projects
Maintain office hours for meetings with employees
Responsible for coaching team members:
Lead and manage the change process and use pass-down information to help plan staffing needs
Encourage the promotion of internal talent and support learning through coaching and feedback
Address and document progressive attendance discipline
Partner with HR to post open positions based on current and future business needs
Recognize trends in attendance and headcount and work with other departments as needed to implement improvements
KNOWLEDGE, SKILLS & ABILITIES:
High School diploma or GED required, college degree a plus
Experience in manufacturing planning, scheduling, HR or related field required
Understanding of basic mathematical calculations, reading, and record keeping
Strong communication skills, including delegation, performance problem solving and conflict resolution
Ability to relate to, train and communicate in a variety of styles, comfortable with a culturally diverse work culture
Bilingual (Spanish or Arabic) preferred.
Ability to understand and communicate in English
Ability to train employees and coach to drive performance; ability to deliver feedback on a regular basis
Ability to plan and organize and manage time effectively
Proficient with Microsoft Office (Outlook, Excel, Word), Payroll and HRIS systems helpful
WORKING CONDITIONS/PHYSICAL FACTORS:
Primarily an office environment but occasionally individual is on production floor with exposure to heat, dust and allergens.
Must be able to exert up to 20 pounds of force occasionally
Must be able to ascend and descend building stairways and ramps to perform tasks required in job description.
Position requires frequent sitting for long periods of time with occasional standing, reaching, walking, lifting, grasping, bending and twisting.
Must be available to meet with employees on off shifts when needed
