The Sales Operations & Quoting Specialist is responsible for executing the end-to-end quoting and order preparation process for the sales team. This role supports Account Managers and Customer Success Managers by handling supplier quotes, building customer quotes in HubSpot, managing documentation, and ensuring smooth order booking.
This is a process-driven, execution-focused role designed to reduce administrative workload and increase sales team productivity.
Core Responsibilities (Offshore-Optimized)
Supplier Quote Management
Receive and organize quotes from manufacturers and distributors
Validate SKUs, quantities, pricing, and contract terms against instructions
Store all supplier quotes in SharePoint using defined folder structures and naming conventions
Maintain a clean and auditable quote repository
Quote Creation & Preparation
Create customer-facing quotes in HubSpot using approved templates and SOPs
Apply pricing, discounts, and bundles exactly as instructed
Attach supporting supplier documentation for internal review
Prepare quotes for AM/CSM approval prior to client delivery
This role does not decide pricing or negotiate — execution only.
Quote Follow-Up & Signature Tracking
Send approved quotes to clients via HubSpot
Monitor quote status (sent, viewed, signed)
Follow up with clients on unsigned quotes according to predefined cadence
Escalate exceptions or delays to AM/CSM promptly
Client Onboarding & Order Booking Support
Collect required new-client documentation and applications
Ensure all forms are complete prior to order submission
Coordinate order booking with internal teams or suppliers
Confirm successful order placement and update HubSpot records
CRM Hygiene & Reporting
Maintain accurate and up-to-date records in HubSpot
Track basic metrics:
Quotes created
Quotes pending approval
Quotes pending signature
Flag bottlenecks or recurring issues to management
Required Skills & Experience (Offshore-Friendly)
Must-Have
Bilingual
2+ years experience in sales support, quoting, deal desk, or operations
Strong attention to detail and ability to follow SOPs precisely
Experience working with CRM systems (HubSpot preferred)
Comfortable handling repetitive, high-volume tasks
Strong written English communication skills
Highly organized and deadline-oriented
Nice-to-Have
Experience supporting North American sales teams
Familiarity with subscription, renewal, or licensing-based pricing
Experience with SharePoint or similar document management tools
Exposure to vendor or distributor portals
