About the Role
We are seeking a highly organized and polished Sales Executive Assistant to provide direct support to a Sales Executive. This role is ideal for someone who thrives in a fast-paced sales environment, has exceptional communication skills, and is highly detail-oriented when it comes to contracts, CRM management, and client communications.
The ideal candidate has hands-on experience supporting senior sales leaders and is confident working with HubSpot, managing contracts, and producing professional, error-free written communications.
Key Responsibilities
Sales & Executive Support
• Provide administrative and operational support to the Sales Executive
• Manage calendars, meetings, and follow-ups related to sales activities
• Draft, proofread, and format professional emails and sales correspondence
CRM & Pipeline Management
• Maintain and update HubSpot CRM, ensuring accurate deal stages, notes, and contact information
• Track sales activity, follow-ups, and pipeline updates
• Generate reports and summaries for the Sales Executive
Contract & Document Management
• Prepare, review, and manage sales contracts, agreements, and related documentation
• Ensure accuracy in grammar, formatting, and legal language (as directed)
• Coordinate contract execution, tracking, and filing
Communication & Coordination
• Act as a liaison between the Sales Executive, internal teams, and clients
• Ensure timely follow-ups and clear communication throughout the sales process
• Maintain confidentiality and professionalism at all times
Qualifications
• Proven experience as a Sales Executive Assistant or Executive Assistant supporting sales leadership
• Strong working knowledge of HubSpot CRM (required)
• Excellent written and verbal English communication skills
• Exceptional grammar and attention to detail in emails and contracts
• Experience managing contracts or sales documentation
• Strong organizational and time-management skills
• Ability to work independently and prioritize competing deadlines
