About the Role:
Reporting to the Head of Compliance, you will be responsible for auditing residential sales files across new listings, pass-in's and sold properties to ensure regulatory compliance and adherence to internal processes. You will play a key role in risk mitigation, pricing integrity and ensuring all documentation meets Consumer Affairs Victoria requirements and industry standards.
Key Responsibilities:
File & Listing Audits
Conduct structured audits of new listing, pass-in and sold files
Verify all required documents are complete, correctly executed and uploaded to CRM
Ensure correct naming conventions and system accuracy
Apply internal compliance checklists consistently across all files
Statement of Information & Pricing Compliance
Review Statements of Information to ensure compliance with current legislation
Confirm comparable properties are appropriate and within required timeframes
Assess pricing documentation for consistency with appraisals and vendor authorities
Identify and query potential underquoting risks
Documentation & Process Oversight
Ensure Sales Authorities, Price Declarations and Vendor Questionnaires are properly completed and aligned
Follow up on missing documents or discrepancies
Escalate material compliance concerns to the Head of Compliance
Identify recurring themes or process gaps
Reporting
Maintain clear audit notes and records
Provide regular reporting and compliance summaries
Key Qualifications, Skills & Experience:
Previous experience in real estate sales administration, compliance or conveyancing
Strong understanding of underquoting laws and regulatory obligations
Exceptional attention to detail
A structured, checklist-driven approach to work
Confidence to professionally challenge inconsistencies
Strong written communication skills
The ability to work independently and manage time effectively
You are naturally organised, process-focused and take pride in getting things right. You are comfortable asking questions, following up and ensuring standards are upheld.
