• Offering order-related support to customers
• Provide administrative support to the sales team
• Maintain clean records of the customers’ data
• Coordinating deliveries with logistics

Job Description:

As a Sales Administrator, you will be responsible for the administrative processing of orders in SAP, managing different administrative tasks, as well as supporting the sales team, and ensuring smooth operations within different departments. A collaborator in this position is responsible for maintaining accurate records, handling customer inquiries, managing orders, tracking shipments, and providing exceptional support to both the sales team and customers.

Responsibilities:

• Manage the end-to-end order-to-cash process for designated customers, including internal and external communication and coordination. Excluding invoicing and cash collection.
• Ensure accurate order entry in SAP and management of open orders, depending on stock availability.
• Proactively inform customers of any order-related issues.
• Review the transportation modes to improve delivery times in coordination with procurement, demand-supply, logistics, etc.
• Coordinate with distribution centers and customers for time slot bookings and shipment pickups and create packing lists for certain customers.
• Creation of transport documents and handling customs documentation as required.
• Send out license keys and generate Label IDs in Salesforce and intranet.
• Processing orders for recurring Cloud & Maintenance billing including clarification with account managers and confirmation to customers.
• Collaborate on customer master data (updating, completing, reviewing data).
• Manage part of the process of return of materials.
• Review invoiceable documents and transfer those to the finance department.
• Ensure compliance with company policies and active contribution to process improvements. 
• Promote the use of tools such as the Customers’ Portal and offer support to customers using this platform.

Qualifications

• Completed commercial training (commercial academy or comparable qualifications)
• SAP and Salesforce knowledge
• Very good MS Office skills
• Precise and independent way of working

Languages

• Able to communicate fluently in English and German in a business setting (verbal & written)

A minimum basic salary of EUR 3,063.00 gross per month for full-time employment applies to the advertised position with a willingness to pay depending on the actual qualifications.
