We specialize in window and gutter cleaning, deck refurbishment, power washing, and exterior home renovations. The Role
This is a dual-function position supporting both our sales team and company ownership. You'll be the person who makes sure nothing falls through the cracks - managing leads, keeping our CRM organized, supporting contract creation, and helping ownership stay focused on the bigger picture.
This is not a slow administrative role. Our sales team moves quickly, leads come in constantly, and opportunities are lost when things sit. If you're someone who gets energy from staying ahead of a busy inbox and takes pride in a clean, organized system - this is built for you.
What You'll Be Doing
Sales & Lead Support
Managing incoming leads across email, text, and CRM
Entering, organizing, and assigning leads accurately and quickly
Following up with unresponsive prospects to revive opportunities
Supporting the sales team with contract creation and estimate entry
Collecting deposits from customers ready to book
Sending review requests after job completion
Managing outbound email and text campaigns
CRM & Systems Management
Keeping the sales pipeline clean, accurate, and up to date
Tracking opportunities and ensuring customer information is correct
Identifying inefficiencies in process and proactively suggesting improvements
Executive Assistance
Supporting ownership with administrative tasks and follow-ups
Coordinating communication and helping keep priorities organized
Removing day-to-day operational friction so leadership can focus on growth
Cross-Department Support
Providing scheduling and administrative support to other departments during peak periods
Stepping in where needed - we operate as one team
What We're Looking For
Experience
5+ years in an executive assistant or senior administrative role
3+ years in sales administration or a sales support function
2+ years in data entry or CRM management
Skills
Advanced written and verbal English communication
Strong typing speed and accuracy
Quick to learn new software - you don't wait to be shown twice
Intermediate to advanced proficiency in MS Excel and Google Drive
Comfortable working with databases and preparing reports
iOS/Apple ecosystem experience an asset

What to Expect
Hours: 40 hrs/week regular season · 45-50 hrs/week peak season (April–August)
Schedule: Monday-Friday, 7:30 AM start (EST) · occasional evening or weekend availability if weekly tasks aren't completed
Location: Primarily remote, with occasional in-office presence required during certain times of year
Pace: Fast. Some days are heavier than others - flexibility is essential
