Role Summary

Chargeback leakage at ChaiVision is currently unmanaged. There is no dedicated owner for retail vendor compliance, no systematic dispute process, and no visibility into what is being lost to Amazon Vendor Central deductions and retail penalties. This role closes that gap entirely.As the Retail & Vendor Compliance & Chargeback Manager, you will own the full chargeback and deduction recovery lifecycle across all of ChaiVision's retail accounts — Amazon, Walmart, Target, and beyond. You will build the systems, processes, and reporting infrastructure that give ChaiVision full visibility into deduction losses and a structured, data-driven path to recovering them.

What You'll Do

Chargeback & Deduction Recovery

Own the end-to-end chargeback and deduction recovery process across Amazon Vendor Central and all retail accounts.

Audit all incoming deductions, classify by root cause (shortage, compliance violation, EDI error, labeling), and file disputes with supporting documentation.

Build and maintain a chargeback tracker with recovery status, aging, and win/loss rates reported weekly to the Head of Logistics.

Escalate unresolvable disputes and manage external relationships with retail compliance contacts.

Retail Vendor Portal & Compliance Management

Manage all retail vendor portal submissions — Walmart, Target, Amazon, and others — ensuring compliance with routing guides, labeling standards, and EDI requirements.

Coordinate with the 3PL and warehouse teams to ensure shipment documentation meets retailer standards before goods leave the facility.

Build an internal knowledge base of compliance rules, deduction codes, and dispute processes for each retail account.

Root Cause Analysis & Process Improvement

Identify recurring compliance violations and work with the operations and logistics teams to eliminate root causes.

Develop and implement proactive compliance protocols that reduce repeat deductions across all retail channels.

Partner cross-functionally with Finance on deduction reconciliation and recovery accounting in Sage Intacct.

Reporting & Accountability Rhythm

Conduct daily reviews of new deductions across all retail accounts and action within SLA.

Deliver weekly chargeback recovery reports with aging, dispute status, and win/loss summary to the Head of Logistics.

Produce monthly compliance violation trend reports and quarterly full deduction audits with retailer scorecard reviews and process improvement recommendations.

Who You Are

You have 3+ years of experience working inside Amazon Vendor Central, Walmart Supplier Center, or a retail compliance function — this is not new territory for you.

You are meticulous. Chargeback disputes live and die on documentation quality.

You are persistent. Dispute resolution requires follow-through across multiple cycles without losing momentum.

You understand EDI workflows and how transaction errors translate into costly deductions.

You are process-oriented. You build systems so the same mistake does not happen twice.

You communicate clearly with both internal operations teams and external retail partners.

Qualifications

Bachelor's degree in Business, Supply Chain, Operations, Finance, or a related field.

3+ years of experience in retail vendor compliance, chargeback management, or supply chain operations.

Demonstrated hands-on experience with Amazon Vendor Central and/or Walmart Supplier Center deduction management.

Working knowledge of EDI platforms such as SPS Commerce, Orderful, or DSCO.

Strong analytical skills with advanced proficiency in Microsoft Excel for deduction tracking and reporting.

Experience working with ERP systems (Sage Intacct or similar) for reconciliation and recovery accounting.
