JOB OVERVIEW
Private Pension Partners Realty Services Inc. (“P3 Realty”) is seeking an experienced Resident Services Representative to join our team. The Resident Services Representative will be responsible for elevating the guest and resident experience at The Halo and providing value-adding services that will differentiate The Halo in the Winnipeg market. The Resident Services Representative will be the champion of resident relations and engagement programs at the property, which will include assisting with the planning and execution of resident appreciation events and community-building activities, with a consistent focus on fostering and improving resident relationships and the resident experience. The Resident Services Representative will also be responsible for assisting with leasing functions.
KEY RESPONSIBILITIES
Act as first point of contact for all residents, prospective residents, trades, and visitors to the Halo and provide exceptional customer service in every interaction;
Monitor the maintenance and cleanliness of the lobby, hallways, common spaces, and amenity spaces;
Oversee all aspects of resident services in the daily operation of The Halo, ensuring the highest level of resident satisfaction;
Provide exceptional concierge information to residents and stay up to date with relevant information regarding the area, activities, events, etc.;
Plan and coordinate resident engagement activities/events;
Create and post marketing content for The Halo social media platforms;
Conduct touch point surveys with residents to determine potential opportunities for improvement;
Establish a comprehensive knowledge of the Halo including availability of suite types and layouts, common areas and amenities of the property;
Report on disputes, requests, and inquiries on a weekly basis to on-site Junior Property Manager;
Engage with potential residents including answering inquiries and qualifying prospects on the phone, email, and in-person;
Provide a professional and personable leasing experience to our prospects throughout the lead to lease process;
Assist with hosting private tours and open houses which will include some evening and weekend commitments;
Assist on display suite setup and do daily cleanliness checks for all display and/or vacant suites;
Assist with drafting lease documentation. This includes monitoring and tracking timelines to ensure each document moves through the process successfully and efficiently;
Assist with the timely collection of deposit, rent and other receivables in accordance with the lease and established company policy;
Assist with move ins and ensuring all suites are ready for move ins with the highest standard of cleanliness and ensuring maintenance completion; and
Assist the P3 Realty leasing team as required.
QUALIFICATIONS & SKILLS
A minimum of 2 years, Concierge, Customer Service or Front Office experience;
Experience as building or resident manager will be considered an asset;
Proficiency in Excel, Word, Outlook, and PowerPoint an asset. Familiarity with social media and website functionality required;
Experience in client-facing and/or sales roles;
Must have a proven record of exceeding guest expectations;
Must have an entrepreneurial spirit;
Clean presentation;
Passionate about guest service with excellent interpersonal and communication skills;
Self-Motivator, possessing initiative and ability to complete projects and tasks in a timely manner;
Great organizational skills with a proven ability to work under pressure;
Ability to handle multiple demands and competing priorities, and adapt to new ideas and changes;
Positive and friendly "Customer First" attitude; and
Strong attention to detail and ability to creatively solve problems.
