Your Responsibilities:
We are looking for a new colleague to join our Team in Berlin/Potsdam on a full-time 40 hour a week contract starting as soon as possible.
• Ensuring correct enrolment of students in the Virtual Learning Environment.
• Monitoring and managing the Virtual Learning Environment.
• Managing other online resources, such as online libraries and external databases
• Delivering tutorials for students with regards to university regulations, resources, scheduling, assessment and marking.
• Tracking students´ academic progress (marking, progression, confirmation of successful study completion).
• Liaising with the Development Team to ensure that students´ records are reflected correctly in the student database.
• Reporting to the Examination Board on students´ academic progress.
• Processing extenuation and appeal requests from students, as well as processing cases of alleged academic misconduct.
• Delivering Examination Board decisions to students.
• Circulating surveys among students for quality evaluation.
• Issuing student letters pertaining to their academic progress.
• Providing face-to-face assistance to students on campus and virtually on the online Registry office hours.
• Overseeing assessment and reassessment processes.
• Answering mailboxes with inquiries from students, lecturers, and Gisma staff across other academic and administrative departments.
• Assisting lecturers with assessment setup and course content in the Virtual Learning Environment.
Your profile:
• Experience in education administration, learning management systems, and higher education operations is an asset
• Experience in managing records, databases, or client information systems is desirable
• Excellent command of English; additional languages are an asset
• Exceptional accuracy in processing data, tracking progress, and managing documentation
• Commitment to delivering high-quality service in both face-to-face and virtual environments, supporting individuals with empathy and professionalism
• Excellent written and verbal communication skills for interacting effectively with students, colleagues, and cross-functional teams. Able to deliver clear guidance and support on administrative and procedural matters
• Effective team player who can liaise across departments to ensure alignment between academic, administrative, and technical processes
• Advanced proficiency in MS Office Suite, particularly Excel, is an asset
