Position Summary
Working in the Office of the Registrar and Enrollment Services in the Records Unit, the Records Officer is main liaison for all daily operations and issues with departments and other functional units relating to students’ official records and is responsible for generating reports and processing official requests to the students’ records as defined by academic and college policy. This position works with Records Assistants to process student requests, issue Official Student Documents (Transcripts and Parchments), and general maintenance of student records.
Responsibilities will include serving as the main point of contact for any issues relating to official students record management, ensuring data integrity of student information, and assisting in developing processes, procedures and improvement projects to ensure overall compliance of college policy and procedures as it relates to student record management.
Official Student Record Management responsibilities will include ensuring data integrity, accuracy and completeness of student records within the SIS and works with the Office of the Registrar and other departments to ensure data integrity and accuracy, particularly with, but not limited to FOIP requests, official grade changes submitted by the department, and issuance of Parchments and Official Documentation and Graduation Paperwork.
Qualifications
Post-secondary diploma
2 years of experience in record maintenance and management
Advanced working knowledge of student information systems and working within a post-secondary environment
Previous Experience and General understanding of Electronic Record management, maintenance, knowledge and best practices within a Post-Secondary Environment, preferred but not required
Superior customer service skills
Strong ability to work within a Collaborative team environment
Ability to understand, interpret and prepare reports and working knowledge of database systems
Solid understanding of document management and retention strategies
An equivalent combination of directly related education and experience may be considered.
