Job Summary
We are seeking a reliable, organized, and detail-oriented Receptionist/Scanner to support daily front desk operations and assist with document management. This role is responsible for creating a welcoming environment for visitors while ensuring accurate scanning, indexing, and organization of company records in a fast-paced setting.
Key Responsibilities
Front Desk / Reception Duties
Greet and assist visitors in a professional, courteous, and friendly manner
Answer, screen, and route incoming phone calls promptly
Manage front desk activities, including mail distribution, visitor logs, and shipments
Provide general administrative and clerical support to internal teams as needed
Maintain a clean, organized, and professional reception area
Scanning & Document Management
Scan, upload, and accurately index documents into the company’s systems
Review scanned files to ensure clarity, completeness, and quality
Organize and maintain electronic and physical filing systems
Perform data entry and document tracking with a high level of accuracy
Safeguard and handle confidential and sensitive information appropriately
Qualifications
High school diploma or equivalent required
Previous experience in a receptionist, administrative, or document management role preferred
Strong attention to detail and organizational skills
Basic computer proficiency (Microsoft Office, scanning systems, and data entry)
Excellent verbal and written communication skills
Ability to multitask and work efficiently in a fast-paced environment
