We are hiring a Receptionist & Intake Coordinator to manage our high-volume inbound communications. This role is the vital link between a curious caller and our expert sales team.

The Role

This is a highly phone-focused role situated at our front desk. You are the primary gatekeeper for all incoming inquiries. Your goal is to ensure that every "warm" lead, returning VIP client, and industry partner is greeted with immediate warmth and directed to the right specialist with zero friction.

You aren’t just "taking messages"—you are identifying needs, capturing vital information, and ensuring our lead-to-agent handoff is seamless and professional.

Work Structure and Rhythm

Schedule: Monday – Friday | 9:00 AM – 5:00 PM

Environment: This is a fast-paced, in-office position that requires you to be "on" and ready for the next call.

Daily Flow: Your day is defined by the flow of incoming business; you will balance active call handling with quick data entry and maintaining a polished front-office presence.

What You’ll Do

The Voice of the Team: Manage a high volume of inbound calls with a "smile in your voice," ensuring every caller feels like a priority.

Lead Qualification: Efficiently gather initial information from potential clients (name, contact info, and their specific real estate needs) before connecting them to the appropriate agent.

Inbound Management: Rapidly screen and route calls to Sales, Marketing, or Administration, ensuring no inquiry gets lost in a voicemail loop.

Client Hospitality: Greet walk-in clients and visitors with a high level of professionalism, immediately notifying the relevant team members of their arrival.

CRM Accuracy: Enter and update lead information in our CRM system in real-time to ensure the Sales team has the data they need to follow up effectively.

Relationship Continuity: Recognize returning VIP clients and provide them with the high-touch, personalized service they expect from our brand.
