Position Overview
We are seeking a motivated and detail-oriented individual to serve a dual role as both a Receptionist and File Clerk/Docketing Clerk. This position will be responsible for ensuring that our office runs efficiently while providing superior service to clients, attorneys, and staff. The ideal candidate will have strong organizational skills, excellent communication abilities, and a keen eye for detail in managing both client interactions and case files.
File Clerk Responsibilities
Create, organize, and maintain physical and electronic client files
Scan, label, and upload documents into the case management system
File incoming correspondence, medical records, pleadings, and discovery materials
Retrieve files and documents for attorneys, paralegals, and support staff as requested
Ensure documents are correctly indexed and filed according to office procedures
Prepare files for hearings, depositions, or trial as needed
Archive closed files in accordance with retention policies
Maintain confidentiality and comply with HIPAA and other privacy requirements
Perform general clerical tasks such as copying, mailing, and data entry
Receptionist Responsibilities
Serve as the first point of contact for clients, visitors, and vendors, providing a welcoming and professional atmosphere.
Answer phone calls, emails, and in-person inquiries, directing them to the appropriate team member as needed.
Ensure proper check-in procedures for visitors, including managing guest access and providing necessary information.
Manage office supplies inventory, placing orders and ensuring supplies are stocked and readily available.
Process incoming and outgoing mail, packages, and deliveries.
Qualifications
High school diploma or equivalent required
Prior experience in a law office or clerical role preferred
Strong organizational skills and attention to detail
Ability to manage high volumes of paperwork accurately and efficiently
Basic computer skills, including document scanning and file management systems
Ability to follow established procedures and work independently
Professional demeanor and strong sense of confidentiality
