Overall Purpose
We are seeking an experienced and proactive Reception Manager to provide maternity cover at our flagship building, 8 St James’s Square.
This is a high-visibility, front-of-house role responsible for delivering an exceptional occupier and visitor experience while ensuring the smooth day-to-day operation of the building.
You will manage one receptionist and work closely with the Facilities Coordinator and Building Manager, liaising with security, housekeeping, engineers, and contractors. The role requires a strong hospitality mindset, leadership capability, and a hands-on approach.
Duties and Responsibilities
Lead and manage the front of house area, always ensuring a professional and welcoming environment
Act as the main point of contact for all visitors, occupiers, and clients, handling queries efficiently and professionally
Manage and support the receptionist, including scheduling, performance, and day-to-day guidance.
Liaise closely with facilities, security, housekeeping, engineers, and contractors to ensure seamless building operations
Oversee visitor management system, reception processes, and documentation, ensuring accuracy and compliance
Handle incoming calls and enquiries, including managing sensitive or challenging situations
Complete daily, weekly and monthly reporting of occupancy levels
Conduct daily operational checks and ensure adherence to site policies and health and safety requirements
Build and maintain strong relationships with occupiers, stakeholders and building management teams.
Promote a positive, professional and customer-focused team culture
Events & Engagement
Support the coordination of small – scale events and seasonal activities (e.g. International Woman’s Day, Valentine’s Day, Eid, Easter, Chinese New Year)
Work with Facilities Coordinator to develop and deliver future events and occupier engagement initiatives
Bring fresh ideas and creativity to enhance the overall workplace experience
Knowledge and Skills:
Experience in reception management, front of house or facilities environment
Strong hospitality or customer service background (essential)
Experience managing or supervising a team
Excellent communication and interpersonal skills
Proficient in Microsoft Office (Word, Excel, PowerPoint)
Highly organised with strong attention to detail
Proactive, adaptable and confident in a client facing role
Strong problem-solving skills and ability to take initiative
Excellent punctuality
